Job Details
Essential Duties and Responsibilities:
- Complies with all safety policies, procedures, and established safe practices and ensures that all direct reports do the same. Reports all unsafe conditions and actions to a supervisor and/or the Manager of Safety and Health.
- Monitors the safety practices (including PPE) of all team members and proactively addresses deficits.
- Follows all requirements listed in the Supervisor Safety Procedures Manual (SSPM) including, but not limited to, safety training, emergency procedures, accident reporting and investigation, and employee observations.
- Maintains a clean and orderly work area and meets other housekeeping needs as required by the client, MSHA 30 CFR 56.20003, and OSHA 29 CFR 1910.22.
- Manage the entire life cycle process of weekly and bi-weekly payrolls.
- Set up and monitor all payroll garnishments and levies.
- Completes the monthly reconciliations of various benefit withholdings and accruals.
- Maintains the Viewpoint payroll master files to ensure proper setup of new hires and existing employee payroll files.
- Manages all payroll transactions and processes to ensure accuracy and correct entries to the general ledger.
- Ensure that regulatory reporting requirements related to payroll are met in a timely and accurate manner.
- Prepares weekly and biweekly payroll tax payments and files quarterly payroll tax reports.
- Prepares quarterly ESC census report.
- Prepares yearly W2 statements in accordance with the law.
- Manages and assists with projects as identified by the Executive Committee and Finance Leadership.
- Create and maintain payroll-related methods and procedures in documented SOP.
- Maintain an understanding and comply with all state and federal wage and hour laws, as well as company policy and procedures related to payroll.
- Actively work with IT and lead in the designing, maintaining, and managing of the payroll system to ensure system compliance with all applicable state and federal laws while also ensuring the system meets desired internal business needs.
- Serve as the primary communicator regarding payroll system maintenance, assisting in resolving problems and implementing change when necessary.
- Assist management team in improving and enforcing processes and procedures to ensure efficient and accurate payroll.
- Responsible for overseeing work activities and providing mentorship, training and development of direct reports.
- Conducts performance reviews, action plans, disciplinary action, etc. for all direct reports.
- Ensure direct reports comply with company policy, practice, and procedures.
- Administers the records retention and destruction procedures for your department according to the retention schedule outlined in the Records Management Program Manual.
- Performs other related duties as requested to assist the Accounting Department in meeting its goals.
- Provides leadership to others through example and sharing of knowledge/skill.
Required Skills and Abilities:
- Diplomacy, discretion, and confidentiality must be practiced at all times
- Ability to read and interpret documents, in English, such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence in English. Ability to speak effectively before groups of customers or employees of the organization in English.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- Proficient personal computer skills including electronic mail, record keeping, routine database activity, word processing, spreadsheet, graphics, etc.
- Ability to prioritize, organize, and delegate assignments
- Capability to work independently to meet processing deadlines
Education and/or Experience:
- Bachelor's degree (B.A. or B.S.) from (4) four-year college required. Three (3) + years of relevant experience managing payroll process. Other combinations of education and experience may be considered.
Certificates, Licenses, Registrations:
- Current North Carolina Driver’s License required
- CPP (Certified Payroll Professional) or ability to obtain CPP
