Job Summary
The Payroll Manager is responsible for administration of the payroll function of Human Kinetics. They are responsible for payroll-related accounting and tax reporting. They handle the accounting for company benefits plans. They are responsible for day-to-day administration and annual administration of the company 401(k) and ESOP plans and coordinates the 401(k), ESOP, and Workman's Comp. audits. They prepare financial reports for the preparation of the quarterly cash flow and annual budget. They handle the monthly payroll-related entries to the general ledger and other administrative duties as needed
Essential Functions
- Accurately and efficiently manage the biweekly payroll function of the company. Maintain accurate and current payroll records in Human Kinetics' human capital management application (UKG Software). Ensure the direct deposits are transmitted before payday. Process staff recognition awards during payroll processing.
- Complete all responsibilities related to payroll-related accounting. This includes entering all payroll-related journal entries into the General Ledger (G/L), creating monthly payroll accruals, and reconcile all payroll-related G/L accounts.
- Ensure employee state, local, and unemployment tax collection systems are set up accurately for remote workers in applicable state systems and in UKG.
- Complete payroll-related tax reporting, reconciling wages and taxes by state to compare and approve against returns prepared by UKG quarterly. Reconcile payroll annually to W-2 totals provided by UKG.
- Administer HK's 401(k) plan under the direction of the CFOO. Keep plan records, track new hire entry date, and enter information into payroll system. Prepare biweekly 401(k) salary deferrals and loan payments to submit to Charles Schwab and transmit the information by employee to the third-party administrator. Initiate 401(k) and loan deposit per the Department of Labor timeline requirements. Review quarterly statements for accuracy and resolve any discrepancies with third-party administrator.
- Administer the company ESOP plan under the direction of the CFOO. Provide census information to the third-party administrator. This includes a worksheet to confirm eligible participants for annual share distribution. Review statements and reports provided by the third-party administrator for accuracy before annual statements are released. Track diversification information annually and provide participants with the information needed. Coordinate all information needed to provide the third-party administrator with terminated participants who are either eligible for distribution or forfeiture at year end.
- Be the primary contact on the annual 401(k) and ESOP audits, preparing and reviewing information needed for the Auditor and the Third-Party Administrator to complete both audits and file the plans' 5500 reports.
- Maintain salary schedule and new hire schedules for quarterly cash flow and annual budget updating report schedules to ensure reported correctly for final reviews.
- Provide customer service to employees with any payroll, 401(k), or ESOP related questions or concerns.
Secondary Functions
- Prepare monthly bank statement reconciliation for the main checking account.
- Back up the Administrative Specialist, Finance as needed.
- Keep Administrative Specialist, Finance up to date with all payroll related issues for purposes of running a payroll quarterly.
- Reconcile the Section 125 bank account weekly and oversee ACH debits from checking account by Chard Snyder.
- Maintain spreadsheet for Community Meal program and reconcile to the G/L.
- Assist with various projects when needed.
- Prepare and transmit information needed for Annual Workers Compensation audit.
Job Qualifications
Required Education: High school diploma or equivalent. Two semesters of course work in bookkeeping/accounting, or equivalent work-related experience.
Preferred Education: Associate degree in Accounting or Finance and/or Payroll Software Certifications.
Required Experience:
