PositionOverview:
The roleis responsible for managing and executing a variety of payroll, HR, andadministrative functions for a 50-person law firm, ensuring compliance andaccuracy across payroll processing, benefits administration, employeeonboarding, and performance tracking. This position requires strongorganizational skills, attention to detail, and proficiency in managing bothroutine and complex HR tasks to support smooth operations within the firm.
Responsibilities:
·Compileand verify semi-monthly payroll data for Paycor, ensuring accurate timesheetsubmissions.
·Prepareand submit non-standard payroll entries, such as commissions and bonuses.
·Trackpaid time off, holiday, and sick leave for paralegal and administrative staff.
·Monitornon-billable time entries and review TimeSlip submissions for accuracy.
·Generateperformance reports and conduct analysis for paralegal staff.
·Verifyinsurance invoices for accuracy, approve payments, and coordinate with externalagents as necessary.
·Handlepayroll reports, 401k approvals, COBRA fees, insurance renewals, and LTDinsurance census; liaise with insurance agents for health benefits.
·Addressemployee benefits requests, process terminations (equipment retrieval, systemaccess removal), and update records across platforms (payroll, insurance,website).
·Overseenew hire setup (systems, background checks, offer letters), schedule and trackinterviews, facilitate first-day orientation, and arrange harassment and cybersecurity training.
·CreateHR procedural manuals, review I-9s, manage document intake, ensure compliancefor training, and update onboarding materials.
·Monitorconflict checks, engagement letters, and ARDC/CLE status.
·Coordinateand update attorney headshots, bios, and professional profiles for the firm’swebsite and LinkedIn; maintain current attorney licensing and address records.
·Managecorporate gifts, company events, and sponsorship logistics, includingcoordination with venues and vendors.
Requirements:
·Experiencehandling semi-monthly payroll cycles for salaried, hourly, exempt andnon-exempt employees. This also includes computing non-standard payments likecommissions and bonuses.
·AdvancedMS Excel skills – ability to do pivot tables, v-look ups and in-depth analysisrequired
·Strongmathematical/computational skills, including knowledge of formulas forcalculations like partial salaries, retroactive pay, severance payments, andother payroll adjustments.
·Exceptionalattention to detail for reviewing and approving payroll data, time slips, andinsurance invoices.
·Experiencewith multi-state offices would be beneficial – any experience with registeringfor unemployment, workers compensation other HR-related functions wouldbe helpful
