Job Summary:
As a Payroll and Benefits Specialist, you will play a key role in ensuring accurate and timely payroll processing, benefits administration, and compliance with company policies and regulations. This position requires an organized, detail-oriented professional with strong communication skills and the ability to work independently in a fast-paced environment.
Key Responsibilities:
- Process weekly payroll, including garnishments, liens, and manual checks as needed.
- Review new hire paperwork and timesheets for accuracy and completeness.
- Perform data entry of payroll information, including benefit deductions and 401(k) contributions.
- Run payroll preview reports, resolve discrepancies, and ensure all updates are processed accurately for new hires, rehires, terminations, compensation changes, and benefits adjustments.
- Maintain payroll records electronically and manage payroll-related general ledger account reconciliations.
- Process quarterly profit-sharing payroll and year-end reports, including W-2s and 1095s.
- Manage and track benefits for employees on leave, including 401(k) loans, deferrals, and catch-up contributions.
- Support 401(k) data collection, reporting, and annual audit preparation.
- Work closely with the Director of People and Culture on special projects and adjustments.
- Ensure compliance with federal and state payroll tax laws and maintain confidentiality of coworker information.
- Serve as the first point of contact for payroll-related questions from coworkers.
Qualifications:
- Minimum 3–5 years of payroll and benefits administration experience.
- Proficiency in Microsoft Excel is required.
- Experience with HRIS/HRMS systems and benefits administration.
- Strong understanding of payroll processing, compliance, and reporting requirements.
- Excellent communication skills, attention to detail, and the ability to work independently.
- A proactive, self-starter mindset with a focus on problem-solving and process improvement.
