Payroll Administrator
We are seeking a highly organized and detail-oriented Payroll Administrator to manage and process payroll. The ideal candidate will have strong knowledge of payroll procedures, tax regulations, and a commitment to ensuring accurate and timely compensation for our workforce. This position plays a critical role in maintaining compliance with legal requirements while fostering a positive employee experience.
Key Responsibilities:
- Payroll Processing:
- Administer the payroll function for all employees (salaried, hourly, and commission-based) across multiple locations.
- Ensure accurate and timely processing of employee wages, deductions, and benefits.
- Process and review payroll data for accuracy, including hours worked, leave, bonuses, and overtime.
- Compliance & Taxation:
- Stay up-to-date on federal, state, and local payroll tax laws, ensuring compliance with all regulations.
- Prepare and submit payroll tax filings, including federal and state tax withholdings, unemployment insurance, and other statutory deductions.
- Maintain accurate records for tax purposes and generate reports for audits or internal reviews.
- Employee Inquiries & Support:
- Respond to employee questions regarding payroll-related issues, such as pay discrepancies, deductions, and benefits.
- Provide support for employees regarding timekeeping, attendance, and payroll system usage.
- Recordkeeping & Reporting:
- Maintain payroll records, including timesheets, wage information, and tax documents, in compliance with company policy and legal requirements.
- Generate and distribute payroll reports to internal departments (HR, Finance) as needed.
- Assist in preparing financial reports and reconciliations related to payroll expenditures.
- Benefits Administration:
- Administer employee benefits programs, including enrollment, deductions, and adjustments related to health insurance, retirement plans, and other perks.
- Coordinate benefits deductions with payroll processing.
- System Maintenance & Improvement:
- Ensure payroll software is updated and functioning properly; troubleshoot system issues as necessary.
- Collaborate with HR and IT teams to implement improvements or upgrades to payroll processes or systems.
Qualifications:
- Education:
- High school diploma or equivalent required. Associate s degree in accounting, finance, or related field preferred.
- Experience:
- Minimum of 2-3 years of experience in payroll administration or a related field.
- Experience with payroll software (e.g., ADP, Paychex, QuickBooks) is highly preferred.
- Skills:
- Strong understanding of payroll and tax regulations.
- Excellent attention to detail and accuracy.
- Strong organizational and time management skills, with the ability to manage multiple priorities.
- Ability to handle sensitive and confidential information with discretion.
- Proficiency in Microsoft Office Suite (Excel, Word, etc.).
- Effective communication skills, both verbal and written.
- Certifications:
- Certification such as Certified Payroll Professional (CPP) is a plus.
