The Opportunity
We are a fast-growing Texas Manufacturer’s Rep. firm that represents commercial HVAC products. Along with our core business we have a Service and Warranty Operations division and a Parts Distribution division. We are seeking a Warranty Administrator. Must have attention to detail, be customer service oriented and work well with others. The Warranty Administrator position is responsible for providing support to the Parts warranty operations. This position needs a self-motivated team player who can be an active part of our team and seeks remedies to ensure customer satisfaction and retention.
Responsibilities
- Responsible for verifying and validating incoming warranty requests.
- Maintains active log of warranty activity in Zendesk organizational application, including all correspondence with the customer and/or manufacturer.
- Administrates collection and return of all manufacturer required defective components.
- Administrates inventory items used for warranty purposes and ensures proper stock replacement practices are utilized.
- Monitors pending credits due from the manufacturer.
- Oversees billable warranty charges.
- Files electronic warranty claims with the manufacturer.
- Exhibits strong organizational and customer service skills.
- Maintains an ethical relationship between the end customer and the manufacturer to ensure both parties interests are protected.
Qualifications:
The Required Profile
- Associate Degree in Business or 2 years related administrative experience. HVAC Warranty experience preferred.
- Intermediate PC skills in Microsoft Office 2007 including Word, Excel, PowerPoint, and Outlook
- Other Skills/Abilities
Language Skills
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret graphs.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Mental stamina for problem solving and prioritizing multiple tasks.
Environmental Requirements
Will be required to work in an office environment and possibly, occasionally in the field.
Physical Demands
While performing the duties of this job, the employee is regularly required to use hands to operate computer keyboard and telephone, reach with hands and arms. The employee frequently is required to stand, walk, and sit. The employee is occasionally required to climb or balance and stoop, kneel, crouch, or crawl. The employee must regularly lift and/or move up to 25 pounds, frequently lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.
