Summary
The Temporary Recruiting Assistant will work directly under the supervision and guidance of the Talent Acquisition Specialist. This position will be responsible for assisting with the overall recruitment process, including posting positions to our Careers page, screening applications, and coordinating hiring manager and panel interviews. We are looking for a candidate with excellent attention to detail, communication skills, and prior experience in HR, recruitment, or administrative functions. This role is part-time (20-30 hours/week) and will run through October 2024. We are not accepting remote candidates at this time.

Recruitment Support:
- Draft approval documents for new positions and collect e-signatures from organizational leaders
- Proofread and edit job descriptions drafted by the Talent Acquisition Specialist and Hiring Managers
- Create job requisitions in our ATS (Greenhouse), assign hiring manager roles and post to various job platforms including LinkedIn and Idealist
- Screen initial applications in collaboration with the Talent Acquisition Specialist
- Proactively reach out to candidates for assistant and coordinator level positions to create an active pipeline of engaged candidates
Interview Coordination:
- Work closely with hiring managers to gather feedback and schedule video interviews
- Communicate directly with candidates and share interview confirmation detailswith hiring managers and candidates
- Schedule and coordinate in person panel interviews by matching availability, reserving in-office space, sharing interview confirmation details, greeting candidates and conducting VVHQ candidate tours
Post Interview Coordination:
- Conduct references checks with previous candidate supervisors, document files and store appropriately within internal systems
- Share next step details with candidates and promptly respond to any follow up questions pertaining to the interview process and timeline
- Collect relevant candidate information to prepare verbal offers and coordinate next stepsregarding onboarding with selected candidates
Technology Systems & Equipment:
- Utilize proper technology systems including Greenhouse, Asana, and SharePoint to track open requisitions, manage applications, communicate with candidates and applicants, document appropriately and share relevant updates to the PeopleOps and Hiring team

Professional Qualifications:
- Bachelor's degree and 0-2 years of relevant work experience required;
- Previous experience in a People Operations or Human Resources function strongly preferred, previous experience supporting administrative functions required;
- Excellent oral and written communications skills in English;
- Ability to prioritize tasks, swiftly shift priorities, and work in a dynamic environment with tight deadlines
- Ability to work independently and as part of a dynamic team;
- Strong computer skills including MS Office applications (esp. Excel, Word, and PowerPoint), social networking tools, and database software (i.e., Salesforce).
- Previous experience working with Applicant Tracking Systems (Greenhouse) a plus
- Experience working cross-functionally to support key objectives and to help team members
This position is a part-time (30-40 hours/week), non-exempt hybrid position based in Washington, DC with two days of required in person attendance at the Vital Voices Headquarters.
The starting salaryrange for this position is $21.10 - $25.79 an hour based on experience and ability to have broad impact early.
