School Description
Founded in Chicago in 1876, Sacred Heart Schools at Sheridan Road (Hardey Preparatory for Boys and Academy of the Sacred Heart for Girls) are independent, Catholic, single-sex elementary schools committed to academic excellence within the context of a Christian, faith-based community. The educational mission is deeply rooted in the 200-year tradition of the Society of the Sacred Heart and shared with the Network of Sacred Heart Schools located in 30 countries: including 24 schools in the United States. The essence of this tradition is the total development of each child: spiritual, intellectual, social, emotional, and physical. Our girls and boys are taught in single gender classrooms but follow a similar curriculum and share in many activities. With a total enrollment of approximately 600 students, the Schools are organized into three academic divisions each led by a division head.
Position Description
Reporting to the Executive Assistant to the Head of Schools, the part-time receptionist serves as the afternoon receptionist for the school and provides administrative support to the school and the Executive Assistant. The receptionist projects a positive, mission-driven image of Sacred Heart Schools to the public and all constituents, and is welcoming, professional, and helpful. This part-time role is Monday – Friday, 1:00 – 6:00pm (25 hours/week) from mid-August to mid-June. This is a benefits-eligible position.
Essential Job Functions:
Reception Coverage
- Greets all incoming students, families, and guests respectfully and professionally
- Answers, fields, and directs incoming phone calls in a pleasant, timely, informed manner for the purpose of providing accurate information and creating a positive image of the school
- Assists in all aspects of maintaining a professional, tidy reception space
- Arrives punctually and prepares for each school day; maintains regular attendance in support of the school’s hours of operation
- Runs dismissal for after-school programs and notifies appropriate parties about dismissal changes
- Supports the security of the school by screening guests and parents with the Raptor system (background check identification system)
- Manages the flow of large groups into the building
Administrative Support
- Problem solves for routine, student matters and refers other issues to the Executive Assistant
- Assists with filing, copying, and faxing of sensitive information
- Sorts and distributes mail daily to mail room; receives, sorts, and distributes incoming packages
- Manages items left in the reception area for pick-up by parents, faculty, staff, and students and notifies the appropriate parties
- Completes ongoing faculty copying requests in a timely fashion
- Assists with other departments and performs other duties as assigned by the Executive Assistant
Qualifications:
- 1 year of experience serving in a reception role or other customer service-related position
- Administrative and clerical skills as well as knowledge of office practices and procedures that involve the operation of standard office equipment such as telephone, computer, copier, and fax
- High school diploma
- Consistently exhibits high standards of professional conduct and customer service
- Strong verbal and written communication skills
- Positive attitude and good problem-solving skillswith the ability to exercise appropriate independent judgment
- Previous experience working with children
- Strong organizational skills with the ability to multitask
- Ability to maintain confidential information
- Understands, accepts, and abides by the School’s philosophy and mission statement in all school activities
- Experience using Google Suite (Gmail, Calendar, Drive, Docs, Sheets) or Microsoft Office (Outlook, Word, Excel)
