About the Part Time Operations Finance Manager Role
The Manager will provide high-quality financial support to the organization and support essential operations that span the Sister District organization.
Responsibilities
Finance: (60%)
- Work closely with outside accountants to process weekly payments and ensure payroll, its related benefits, and compliance with state unemployment and workers compensation are paid timely and accurately.
- Manage the organization's credit cards system, including one time use credit cards for employee travel, and coding transactions at month-end.
- Manage the expense reimbursement process in Gusto.
- Support annual audit; coordinate with outside accountants to prepare tax filings, allocate costs, and other finance activities.
- Aide the Head of Operations in reconciling income, and assist the Head of Operations with additional tasks as needed.
- Assist in preparing and verifying all departmental budgets
Operations: (30%)
- For all departments, provide project management, scheduling, administrative, and other support for programs, internal and external meetings, events, and special projects as needed.
- Event planning and project management of Leadership Workshops, Staff Retreat, and GOTV Travel
- Responsible for responding to email in the HQ@, info@, support@, and careers@ accounts in a timely and appropriate manner.
- Contribute to continual improvement of the organization's written processes and systems.
- Manage all physical mail sent through the organization's Virtual Post Mail account.
- Provide support for deposit donation checks that arrive by mail, including that checks are deposited into the proper account and that the bookkeeper accurately reflects the deposits into the proper account.
- Responsible for the HQ calendar, preparing the HQ calendar for each new year, ensuring the calendar is up to date for office closures and provides reminder notices in Slack to staff and volunteers in advance of these closures, as well as scheduling and reminders for BIPOC and Staff Coffee and ensuring All Hands calls are scheduled around office closures and provide reminder notices to the ET member attending each month.
- Support the Operations Department in reaching its Key Results and Tasks each year.
- Manage quarterly ActBlue refresh process with Development, Technology, Operations, and Digital Teams.
- Manage grassroots fundraising processes, including fulfilling volunteer requests for ActBlue links, refcode updates, and offline donations to candidates.
- Support new team/affiliate onboarding; support onboarding for Action Network, Mobilize, Slack and Periscope Access.
Human Resources (5%):
- Aid in the administration of benefits, including open enrollment
- Manage the monthly time allocations
- Support the hiring, onboarding and offboarding process for employees and fellows, including posting open positions and project managing the hiring process
- Research and help plan professional development opportunities
- Support Operations team in improving staff culture, including staff appreciation
Tech (2%)
- Act as a liaison between Sister District staff and The Movement Cooperative, and project manage staff technology related requests.
- Together with the Digital and Tech Departments, troubleshoot general technology issues as they arise on our platforms, including Action Network.
Other (3%)
- Perform other tasks to support the organization as assigned.
Essential knowledge, skills + experience
- Superb attention to detail and highly organized
- At least one year of bookkeeping experience
- A high level of comfort with financial management technologies and excellent ability using Quickbooks, Microsoft Excel, Google Sheets and Google Drive.
- Adaptable to a fast paced working environment
- Ability to work independently and collaboratively as needed
- Ability to communicate clearly and efficiently - both written and oral.
- Demonstrated experience with Google Workspace
- Experience with and interest in cultivating strong relationships and working closely with people
- Demonstrated interest in the mission, vision and values of Sister District.
Bonus Points:
- Campaign compliance experience
- Understanding and experience working with multi entity organizations, including 527, PAC, and 501(c)(4) organizations, and fiscal sponsorships.
Start Date
We are looking to fill this position immediately. Applications will be reviewed in early January.
Position and Pay
This is a non exempt, part-time, twenty (20) hours per week, remote position that can be fulfilled from anywhere in the United States, with preference given to candidates located in the Central or Eastern Time Zones. Pay will commensurate with experience, in the range of $33.65/hour to $38.94/hour. The expectation is not for new team members to be hired with a starting salary at the top of the band, but to have a salary that adequately compensates experience and expertise while countering pay inequality and upholding internal parity.

We have endorsed candidates in 177 races across 18 states, 115 of whom have won. We have raised more than $5.3 million in small-dollar donations directly for our candidates and state-based partners. Our organizing efforts have reached more than 4.1 million voters through phones, texts, postcards, and door knocks. We also partner deeply with our campaigns to provide professional training and guidance to help candidates and staff build robust, data-driven campaigns.
Sister District not only helps to win urgent elections each year, but also builds Democratic infrastructure for the long term. We do this by training newly elected legislators and former candidates, conducting academic-quality civic research, raising awareness about the importance of state legislatures, supporting community-based organizations, and more.
