About the Opportunity
The Brad and Alys Smith Outdoor Economic Development Collaborative (OEDC) empowers West Virginia’s communities and partners to advance the state’s economy and enhance quality of life through outdoor recreation. One of the strategies to fulfill this mission is by addressing population loss through Talent Attraction & Retention Programs, including Ascend WV and First Ascent. The Office Specialist – Greenbrier Valley functions as a member of the OEDC’s Talent Attraction & Retention team and fulfills the overall mission of the OEDC in its specific region of the state. Under the supervision of the Greenbrier Valley Program Coordinator, the Office Specialist assists with the facility operations, administration, room reservations, and event host responsibilities at the Ascend Greenbrier Valley coworking space. This part-time position involves flexible hours typically during the work week but occasionally on weekends. The position is mostly on-site at the Lewisburg, WV office but does allow for up to one day a week remote work by request. This position supports WV’s outdoor economy and talent attraction/retention efforts, so those interested in meaningful work toward the unit’s mission are encouraged to apply. The ideal candidate possesses strong organizational, administrative, and customer service skills, and the ability to work both independently and on a team.

What You'll Do
Coworking Space/Office Management
- Greet visitors, monitor the front desk, respond to inquiries, and provide courteous and professional assistance including tours of the space and instructions about using systems to coworking space users and visitors.
- Maintain cleanliness of the office and ensure kitchen area is maintained and well stocked.
- Monitor room reservations and group reservation requests, ensuring that reservations are updated daily.
- Manage and monitor office supplies inventory.
- Coordinate and maintain Greenbrier Valley outdoor recreation gear by maintaining check-in/out log, ensuring cleanliness of gear, and organizing the gear library.
- Assist with organization of co-working space and event set-up and take-down as directed.
- Occasionally open the space to host group events.
Administrative Support
- Monitor incoming paperwork for inbound program members and update member files.
- Provide customer service through shared email inbox and responding to tickets.
- Assist with general office tasks, including data entry, content creation, photocopying, filing, and document organization.
- Manage individual membership usage and group reservations of the coworking space and its resources including meeting rooms, A/V equipment, and parking.
- Other duties as assigned.
Work Hours: 20 hours per week
Qualifications
- High school diploma required.
Knowledge, Skills, & Abilities
- Strong organizational skills with the ability to prioritize tasks and meet deadlines.
- Excellent communication skills, both verbal and written.
- Attention to detail and accuracy in completing assigned tasks.
- Ability to work effectively both independently and as part of a team.
- Strong customer service skills including greeting visitors, giving site tours, answering phone calls, and email communication.
- Experience with facility operations, budgets and program reporting.
Preferred Qualifications:
- Associate’s degree.
- Previous experience in an office setting
- Previous experience as an administrative assistant, receptionist, secretary, or office manager
The WVURC was created as a not-for-profit corporation in 1985 to support research (R1) at West Virginia University. We provide evaluation, development, patenting, management, and marketing services for inventions of the faculty, staff and students of the University.
