About the role:
We are seeking a highly organized and detail-oriented Part-time Administrative Support Specialist to manage daily office operations and provide support to the team. The ideal candidate will have excellent communication skills, the ability to multitask, and a proactive approach to problem-solving. This position is Monday through Friday, 30 hours a week.
Responsibilities:
- Provides general administrative support including office reception, meeting/event coordination, filing, shipping and receiving.
- Answering all incoming phone calls (PSI main #).
- Greet and assist PSI visitors.
- Monitor PSI facility to ensure offices are clean, functional and in good repair. (Coordinate with landlord on maintenance and housekeeping issues).
- Support other departments as needed with administrative tasks.
- Work with PSI vendors to keep office equipment in working order.
- Maintain the PSI Inventory Program (furniture, phones, IT equipment).
- Handle the acquisition, distribution, storage and disposal of office equipment and supplies.
- Responsible for the facilities day-to-day access (such as distributing building access keys and back-up to security access cards, etc.)
- Monitors and maintains office supplies.
- Handle the acquisition, distribution, and storage of office equipment and supplies.
- Dispose of unclaimed property.
- Coordinate Communications Program while working to find more effective and efficient solutions.
- Coordinates with IT vendor and department managers to validate current systems/software are meeting company needs.
Qualifications/Requirements:
Associates with 1-3 years of administrative experience.
- Excellent verbal and written communication skills.
- Strong interpersonal skills and able to exercise judgement, diplomacy, and tact in all interactions.
- Professional appearance, pleasant demeanor, and helpful "can do" attitude.
- Demonstrated computer proficiency with Microsoft Windows, Word, Excel, PowerPoint, Outlook and Teams.
- Organized, with ability to prioritize and work under pressure with multiple tasks and deadlines.
- Analytical and conceptual thinker with excellent attention to detail
- Ability to work independently with limited supervision and stay focused with frequent interruptions.
- Must be able to handle business and personal information with confidentiality and integrity.
- Strong team player with the ability and willingness to collaborate in support of organizational objectives.
- Reliable with excellent punctuality and attendance
- Adept at scheduling and organization
- Ability to communicate with multiple stakeholders in a timely manner.
