GENERAL STATEMENT OF THE FUNCTION

Functions as the principal clerical support to Hinds Community College Single Stop program. The work is routine or repetitive and follows clearly prescribed clerical practices. Detailed instructions or directions are received from the Lead Single Stop Coordinator. Contacts with students and/or persons within or outside the agency involve the exchange of routine, factual information, appointment scheduling, and referral to the appropriate Single Stop Coordinator.
QUALIFICATIONS REQUIREMENTS

EDUCATION AND/OR EXPERIENCE
High school diploma or general education degree (GED); and three years as a secretary on a full-time basis; or two years of college with courses in secretarial science and two years' experience. Ability to type from plain copy at the rate of 55 correct words per minute and transcribe dictation from a machine. Ability to perform at high levels of proficiency. Must have knowledge of computer operations.
ESSENTIAL DUTIES AND RESPONSIBILITIES , include the following.

+ Maintain knowledge of diversity-related issues, legislation, and best practices
+ Composes and types routine correspondence
+ Files correspondence and other records
+ Answer telephone, record messages accurately, respond to inquiries, give information to callers or route calls to appropriate official, and places outgoing calls
+ Schedules appointments for Lead Single Stop Coordinator
+ Greets visitors, assist with intake, ascertains nature of business, and directs visitors to appropriate office(s) or Single Stop Coordinator
+ Maintain a clear work space at the front counter and personal desk area
+ Arrange travel schedule and reservations for Single Stop Personnel
+ Compiles, types, and maintains department data and reports
+ Maintains confidentiality according to FERPA standards
+ Records minutes of staff meetings, as necessary
+ Make copies of correspondence or other printed materials
+ Prepares outgoing mail
+ Assist with office budget, as necessary
+ Respond or forward emails in a timely manner of 24 hours
+ Coordinate PO's and Requisitions in Workday
+ Maintain office supply & equipment inventory list
+ Maintain comprehensive, up-to-date, and accurate records and confidential files
+ Perform additional duties as assigned
+ Responsible for intake of students upon arrival to Single Stop Office
+ Participates in any necessary training regarding Single Stop
+ Inputs student information into the Single Stop database
+ Participate in outreach efforts as necessary
+ Update all Single Stop Brochures, Flyers, and other handouts as requested
+ Update the website for Single Stop Office, as necessary
