We are seeking a dynamic and experienced Permanent Part Time Administrative Assistant to join our team in the Construction industry. The ideal candidate will be a self-starter, capable of managing multiple tasks and projects simultaneously, and have a keen eye for detail. This position will provide support to our team, helping to ensure that our operations run smoothly and efficiently. The successful candidate will have a strong background in administrative roles, preferably within the construction industry, and possess a deep understanding of the nuances and complexities of this sector.
Responsibilities:
1. Provide comprehensive administrative support to the team, including managing calendars, scheduling meetings, and coordinating travel arrangements.
2. Assist with the preparation of project documents, including contracts, proposals, and reports.
3. Maintain and update project files and databases, ensuring that all information is accurate and up-to-date.
4. Liaise with clients, contractors, and suppliers, handling any inquiries or issues that may arise.
5. Assist with the procurement process, including sourcing suppliers, obtaining quotes, and managing purchase orders.
6. Coordinate and assist with onsite and offsite meetings, including arranging logistics, preparing materials, and taking minutes.
7. Assist with the management of project budgets and financial tracking.
8. Contribute to the development and implementation of administrative systems and processes to improve efficiency.
9. Provide support in the preparation of health and safety documentation.
10. Perform other related duties as assigned.
Qualifications:
1. Minimum of 5 years of experience in an administrative role, preferably within the construction industry.
2. Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
3. Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
4. Strong communication skills, both written and verbal, with the ability to liaise effectively with all levels of staff and external contacts.
5. Detail-oriented with a high level of accuracy in all areas of work.
6. Proactive and able to work independently with minimal supervision.
7. Knowledge of construction terminology and processes is highly desirable.
8. Experience with project management software would be considered an asset.
9. Ability to maintain confidentiality and handle sensitive information with discretion.
10. High school diploma or equivalent required; additional qualifications in Business Administration or related field would be considered an asset.
