Part-time Administrative Assistant

Summary:

The Administrative Assistant handles a wide variety of complex and confidential situations and resolves conflicts involving the clerical and administrative function of the office. They are responsible for confidential and time sensitive material; preparing routine and advanced correspondence including letters, memoranda, and reports; and they will rely on experience and judgment to plan and accomplish goals.

Responsibilities:

• Maintains a variety of files and records, updates master files, and verifies/processes incentive payments
• Writes letters and correspondence as needed
• Schedules meetings and appointments
• Takes and summarizes notes for focus group and alignment meetings
• Maintains scheduling for program participants and facilitators
• Proficient computer skills including MS Office Suite
• Preferred experience in Workday and LMS applications (including Cornerstone)
• Advance MS Excel skills to include:
• Data analysis: can perform complex data analysis (including VLOOKUP) and create dynamic reports (including pivot tables, graphs, and tables). 
• Automation: can automate tasks using macros.
• Handle large data sets efficiently.
• Spreadsheet models: can build spreadsheet models, templates, and dashboards. 
• Data validation: can use data validation functions like email address verification, drop-down menu integration, and duplicate entry notification.
• Index match: can use the index match function to look for and assess information in Excel. 
• Conditional formatting: can use conditional formatting to identify important information, patterns, and trends in their data. 

Qualifications:

Education & Experience: 

• High School Diploma or equivalent; Associate degree preferred
• A minimum of 2 years of administrative experience
