About the Job
The Outreach Operations Manager is responsible for developing and overseeing a smooth, effective sales process and ensuring accurate, real-time visibility of the sales team’s performance. There are four key areas in which the Outreach Operations Manager will support the Outreach Team: preparing and maintaining all Outreach related reporting and dashboards; collaborating with finance on bonus program management; Salesforce optimization, integration and automation; and support of the daily operations of the team. In this role, the Outreach Operations Manager will be a strong team player and multi-tasker working closely with the VP of Marketing & Outreach, corporate Finance, and the Outreach Coordinators.
Responsibilities:DATA MANAGEMENT, REPORTING, & ANALYSIS:
- Develop reports to track weekly, monthly, and quarterly progress to established sales targets and KPIs utilizing existing business scorecards and dashboards
- Continuously evolve reports to ensure automation and integration into other applications used across the business
- Oversee strategic data management and analysis, providing direction and support to the team based on insights
- Collaborate with VP and marketing leadership to establish reporting and dashboards to track effectiveness of B2B marketing campaigns directed at referral partners
BONUS PROGRAM MANAGEMENT:
- Collaborate closely with Finance & Analytics teams to develop infrastructure and reporting to track internal bonus program based on the team’s performance to established sales targets
- Ensure accurate calculation and timely payment of quarterly bonus program
- Act as a liaison between Outreach Coordinators and Finance on the measurement and execution of bonus program
CRM MANAGEMENT:
- Optimize the sales team’s utilization of Salesforce CRM including customization, automation, and integration with other business platforms
- Develop sales process KPIs, utilization reports, and routing tools to maximize the effectiveness of the team to achieve established sales targets
- Partner with Outreach Coordinators to maintain high level of data integrity ensuring account details are complete and kept up to date
OTHER OUTREACH OPERATIONS:
- Facilitate tracking and reporting of all monthly outreach-team related expenses in expense management platform to ensure budget and compliance adherence
- Develop dashboard to compare individual team member’s performance across established KPIs to enable managers to be proactive with process improvement and performance enhancement
- Partner with Sales leadership during budgeting process to establish appropriate admissions targets based on historical data and market intelligence
- Provide initial and ongoing training to sales team members on Salesforce, reporting, and other utilized technology
- Develop data-based approach to determine appropriate territory size and when to hire additional sales team members
REQUIRED
- Salesforce (implementation, customization, optimization, etc.)
- Extreme proficiency in MS Excel
- Strong attention to detail and ability to manage multiple projects simultaneously
- Strong organization skills and excellent oral presentation and communication skills
- Strategic thinker with a proactive approach to problem-solving
PREFERRED
- EMR/EHR system awareness and experience
- Power BI and/or similar business intelligence platforms (Tableau, DOMO, etc.)
- Market planning and analytics platforms (Sitewise, Buxton, etc.)
- Knowledge of healthcare regulations, compliance, and industry standards
EXPERIENCE
- Required: 3+ years of proven experience in sales operations or related role within the medical device, behavioral health, or healthcare industry
- Preferred: Multi-site healthcare experience
EDUCATION:
- Bachelor’s degree in Management, Finance, Statistics, or related field (Required)
- Master’s degree (Preferred)
- Salesforce Certified Professional (Required)
