The Orthodontic AR Specialist is a critical member of our dental practice's administrative team, responsible for efficiently managing all aspects of accounts receivable, from insurance claims to patient relations on financial matters. This role primarily involves handling work-in-progress claims, ensuring timely insurance claim submissions, and following up on outstanding claims. The position also focuses on maintaining excellent patient relations related to their financial obligations.
**Key Responsibilities:**
**1. Insurance Claims Management:**
- Prepare and submit accurate insurance claims for orthodontic treatments promptly.
- Review and verify all insurance claims to ensure completeness and accuracy.
- Maintain a comprehensive understanding of dental insurance policies and coverage.
**2. Work-in-Progress Claims:**
- Track and manage claims in progress, ensuring they move smoothly through the insurance process.
- Address any issues or discrepancies in work-in-progress claims promptly.
- Collaborate with clinical staff to gather necessary documentation for claims submission.
**3. Claim Follow-Up:**
- Regularly monitor the status of submitted claims.
- Follow up with insurance companies to expedite the processing of outstanding claims.
- Investigate and resolve any claim denials or rejections, making necessary corrections.
**4. Patient Financial Relations:**
- Act as a liaison between the practice and patients regarding financial matters.
- Educate patients about their insurance coverage, including copayments, deductibles, and limitations.
- Answer patient questions and concerns regarding billing, payments, and insurance.
**5. Billing and Payment Tracking:**
- Create and manage patient invoices, ensuring accuracy and transparency.
- Track patient accounts receivable (AR), including outstanding balances and payment histories.
- Send timely reminders and statements to patients with outstanding balances.
**6. Failed Payment Resolution:**
- Manage and resolve issues with failed payments, including credit card declines or returned checks.
- Coordinate with patients to update payment information and ensure payment issues are resolved promptly.
**7. Patient Communication:**
- Maintain clear and open communication with patients regarding their financial obligations.
- Address patient concerns and inquiries regarding their accounts professionally and empathetically.
**Qualifications:**
- High school diploma or equivalent (Bachelor's degree or relevant certification is a plus).
- Proven experience in orthodontic accounts receivable management, including a strong understanding of orthodontic insurance claims procedures.
- Additional experience in dental accounts receivable is a plus.
- In-depth knowledge of orthodontic and dental insurance plans, claim submission, and follow-up procedures.
- Strong interpersonal and communication skills, with a customer-oriented approach.
- Proficiency in dental and orthodontic software and practice management systems.
- Exceptional organizational skills and attention to detail.
- Ability to work independently and as part of a team.
- Ethical and compliant with all legal and industry standards for financial transactions and patient confidentiality.
