Operations Specialist - Fusion Optix

About the Job
- Accurately enter and maintain customer sales orders, vendor invoices, credit card statements, and expense reports in CRM and ERP systems (Salesforce, Rootstock, QuickBooks).
- Conduct regular data quality audits to ensure accuracy and consistency across systems.
- Resolve data discrepancies by liaising with internal teams and external vendors.
- Maintain well-organized records of all data, adhering to company policies and regulatory requirements.
- Support sales, procurement, and finance teams with data-driven tasks such as order processing, inventory tracking, and vendor management.
- Assist with financial reconciliation and reporting processes by ensuring accurate data entry of invoices and payments.
- Generate operational reports and dashboards in Salesforce and Rootstock to provide actionable insights to stakeholders.
- Monitor and refine operational workflows to improve efficiency and accuracy.
- Develop and implement processes to maintain the accuracy and reliability of data inputs.
- Identify recurring issues or bottlenecks in data management or operational processes and propose solutions.
- Assist with system updates, integrations, and customizations to enhance operational efficiency.
- Experience: 2+ years in data entry, operations, or a related role.
- Technical Proficiency: Experience working with CRM and ERP systems, particularly Salesforce, Rootstock, and QuickBooks.
- Attention to Detail: Ability to accurately process and manage high volumes of data.
- Analytical Skills: Strong problem-solving abilities and a proactive approach to process improvement.
- Software Skills: Advanced knowledge of Microsoft Excel and familiarity with other data management tools.
- Communication: Strong written and verbal communication skills to collaborate across teams effectively.
- Bachelor’s degree or equivalent experience in business, operations, accounting, or a related field.
- Familiarity with sales orders, invoice processing, and financial reconciliation workflows.
- Experience in manufacturing, technology, or similar industries is a plus.
