About the Role:
We are seeking a dynamic and experienced Operations Specialist for our team. The Operations Specialist (Clinical Secretary) will play a pivotal role in operations and client support at our center, ensuring the highest standards of care are maintained and innovative approaches are integrated into our programs. This position oversees both administrative and medical assistant duties. We’re looking for someone who is capable with standard clerical tasks such as typing reports, filing documents, ordering supplies … and someone who can also schedule and manage client appointments, prepare medical reports, and even handle client specimens where needed.
The Operations Team is a active member of the team, interacting with clients throughout the day and supporting their recovery journey from transporting new clients, facilitating daily routines, and collaborating with the team for the best possible client experience.

Essential Duties and Responsibilities:
Administrative Support
- Arranging and managing client appointments and arrange or providing transportation
- Logging and processing bills or expenses
- Answering and taking calls
- Managing databases
- Maintaining and up keeping center
Medical Assistant
- Data Entry- Keeping client EMR information up to date
- Prepare medical/clinical reports
- Ordering medical and office supplies
- Collecting specimens (UAs), perform and record vitals as needed
Client Support
- Support clinical team with client needs and hand off between shifts and other teams
- Maintain positive and upbeat connections with clients
- Manages conflict and facilitates communication between clients and staff
- Provide feedback and communication with supervisor and clinical team about observations and/or suspicious behavior
About You:
You are an organized, detail-driven professional with over two years of experience in fast-paced office settings. You love working within rehab or behavioral health care to support client's recovery, tracking and submitting attendance and billable hours and creating a fun and welcoming environment for clients. You have strong communication skills, the ability to connect with clients and the tech-savviness and ability handle ambiguity and improve operational systems.
Education: High School Diploma required. Education with Drug and Alcohol Counseling, Psychology, Health Services, or Social Work is a plus!
Certificates & Licenses: None required. Drug and Alcohol Counseling Credential or Internship Preferred, but not required.
Skills:
- Excellent verbal and written communication skills, ability to connect with a diverse client base
- Strong organizational and multitasking skills
- Tech Savvy, proficient in Microsoft Office, multi phone line and spreadsheets
- Strong Typing Skills for data entry and written communication
- Desire to learn medical and billing terminology
Experience and other Requirements:
- 2-3+ year of work in a fast-paced office or professional setting.
- AA or BA degree or equivalent experience.
- 1+ year of medical or administrative work or BHT (Behavioral Health Technician) experience preferred but not required
- Valid Drivers License to transport clients in company vehicle
- Negative TB test within past year
- Ability to pass pre-employment and/or random drug screenings
Job Status: Full- Time, Monday - Friday, Working hours between 9am - 8pm
Location: On-site in Santa Ana

The pay range for this role is:
21 - 27 USD per hour(The Edge Treatment Center)
