WESTSIDE FAMILY HEALTHCARE SEEKS ASSISTANT OFFICE MANAGER FOR WILMINGTON SITE CLINIC

The Clinical Site Assistant Office Manager assists the Office Manager with the supervision and coordination of the activities of clinical and administrative support workers. The Clinical Site Assistant Office Manager's goals are to ensure a positive patient experience, continuing Joint Commission readiness and a positive working environment for employees.

CORE RESPONSIBILITIES

1. Assist the Clinical Site Office Manager (CSOM) with the supervision of the Patient Service Representatives; working with HR and the Clinical Site Office Manager to recruit, screen, hire, orient, train, direct, and monitor work; provide ongoing performance feedback and required quarterly check-ins; implement corrective actions and make employment termination decisions
2. Ensure that staff adhere to customer service, quality, safety and patient confidentiality standards, deadlines, and procedures, correcting errors or problems
3. Assist the Clinical Site Office Manager with the resolution of patient complaints and answers to patients' questions regarding policies and procedures
4. Provide employees with guidance in handling difficult or complex problems or in resolving escalated complaints or disputes
5. Monitor and enforce employees' participation in and completion of training assignments (including but not limited to Healthstream training)
6. Review records or reports pertaining to activities such as production and payroll to verify details, monitor work activities, or evaluate performance
7. Interpret and communicate work procedures and company policies to staff
8. With the assistance of the Human Resources Department, create and implement performance improvement plans and corrective actions as needed
9. Maintain records pertaining to inventory, personnel, orders, supplies and machine maintenance
10. Monitor inventory levels and requisition or purchase supplies as needed
11. Manage the physical facility, monitoring and coordinating building and medical equipment repairs, maintenance and cleanliness
12. Attend and participate in meetings as requested
13. Coordinate with clinical staff to address scheduling or patient interaction issues
14. Track office keys and other office property

PM22

High school diploma or GED

Post-secondary education in business, finance and/or healthcare

One year of work experience in the healthcare industry

Experience using Microsoft Outlook, Word, Excel and PowerPoint

PREFERRED OBJECTIVE QUALIFICATIONS

College degree in business administration, operations management, healthcare or related field

Supervisory experience in a healthcare setting

Fluency in written and spoken English and spoken Spanish
