The Operations Manager plays a critical role in the overall success and health of our factoring portfolio. The Operations Manager oversees the Client Risk Management team and the processes that are fulfilled in the A/R Financing Cycle to ensure processes are completed, in accordance to policies, and on-time to meet various funding deadlines, and to reduce DSO. The Operations Manager will collaborate with credit, customers service, sales, and various internal departments. The manager will also work to foster relationships with Account Debtors and Clients. In addition, our ideal candidate will also be detail oriented, results driven and possess a positive hard-working attitude.
Essential Functions and Results Expectations
- Drive improvements in efficiencies, effectiveness, and structure., Enable team members to grow and reach their potential through mentoring, specialized training, and goals.
- Evaluate operational procedures: develop and recommend new/revised methods for process and automation improvements and implement solutions
- Lead a team responsible for accurate and timely delivery of end-to-end billing activities for Factoring Clients and invoice processing.
- Support and help to enforce policy, standards, metrics, for the A/R Financing Cycle.
- Build relationships with leadership team, direct reports, debtors, and Clients
- Analyze client risk and implement processes to mitigate fraud and bad debt
- Develop a cadence of review, reporting, and communicating results of risk areas within ECS Factoring Portfolio.
- Manage system processes, including system upgrades, user permission groups, and system preferences.
Essential Duties and Functions
- Actively engage in scheduling, planning and facilitating an effective one-on-one with my leader on a weekly or bi-weekly basis.
- Conduct one on one meetings with direct reports on a weekly or bi-weekly basis.
- Proactively utilize Call Copy a performance review tool to seek and engage feedback from my leader.
- Produce and present weekly, monthly and detailed reporting for Senior Director of Operations, VP of Factoring, in order to effectively utilize collection resources and improve billing practices to decrease outstanding aged receivables
- Develop a thorough understanding of the debtors billing requirements, client’s invoicing processes, and the overall health of the portfolio.
- Across all areas of responsibilities, develop and implement internal controls and operating procedures to create an environment that ensures, accurate invoicing and accurate financial reporting
- Provide training and support to staff on audit processes and compliance requirements.
- Ensure the team meets daily deadlines timely and accurately.
- Establishes and implements productivity goals and analyzes results.
- Conduct regular audits of operational processes to ensure compliance with company policies.
- Develop and implement performance metrics and standards. Coach team members performance.
- Hire, train and evaluate the team members within the operations department to ensure a sufficient number of team members are available to handle and manage workload

Requirements
- Understanding of critical operational risk management lifecycle activities
- Ability to quickly learn software systems
- Ability to switch between risk focus and people focus depending on business needs.
- Proficiency in Microsoft Office (Excel, Outlook, and Adobe Acrobat)
- Ability to manage multiple operating systems
- Excellent written and verbal communication skills
- Strong attention to detail with accuracy goal oriented
- Ability to prioritize and manage multiple responsibilities
- Excellent project management with a track record of developing end-to-end risk management processes
- Problem-solving skills
- Strong understanding of auditing standards, regulations, and best practices.
- Must be able to work as part of a team with peers and leadership within the organization
- Passport/Visa or the ability to obtain one
- Managed a high-volume invoice processing team
- 5+ years experience in operations, collections, and management
- University Degree in Business Administration, International Business, or similar field
