Operations Manager Job Summary:
Managed daily operations and oversaw the freight invoice factoring team to control client and customer credit risk in order to maximize the companies profitability. Responsible for all aspects of factoring operations; assign and monitor the work, gather resources, implement productivity standards, resolve operations problems, maintain reference manuals and implement and execute new procedures.
Responsible for managing and controlling customer collections and credit exposure, supervised daily collections of factored receivables and managed the closings for factoring facilities. Developed and implemented factoring risk control procedures, ensured department procedures are up to date, implemented and enforced systems, policies
and procedures in the transportation factoring space.
Operations Manager Responsibilities:
- Manages development, best practices, company policies, and service excellence standards.
- Utilizes quantitative and qualitative metrics, guidelines, and standards by which the company’s efficiency and effectiveness can be evaluated; identifies opportunities for improvement.
- Reviews employees work quality through conducting quality control assessments and proactively addresses and resolves any issues.
- Approve pending purchases and ensure accuracy of submission.
- Makes recommendations to director of operations & finance for performance improvement and participate in the disciplinary action process as necessary.
- Monitors team levels, workloads, scheduling, and staffing.
- Assist in interviewing and recruiting processes and the training activities for the team.
- Ensures engagement and understanding of objectives through checkpoints meetings, goal setting, coaching, feedback, and assist in conducting performance reviews, if necessary.
- Maintain portfolio delinquency <3% and overall aging turnaround to <35 days.
- Provides the necessary training and tools to enable operations team to maintain a connection with the clients through the delivery of knowledgeable insights in a friendly and prompt manner.
- Manages and resolves escalated customer communications, conflicts, or issues.
- Provide outstanding customer service while maintaining strong control procedures to mitigate loss exposure.
- Work closely with the director of finance & operations and accounting on key accounts.
- Generates operational reports for management as needed.
- Alternate with team on the fuel after hours calls. Support team members when needed.
- Ensure timely submission and recording of fuel rebates to clients in the fuel rebates program.
- Review client transactions and submissions daily.
- Establishes and maintains credible, professional relationships with clients, internal business lines, and external debtors.
- Facilitate and follow through new client buyouts.
- Train clients on portal on how to submit credit request, reports, and request reserve release.
- Notify management about important information such as carrier shutting down, filing bankruptcy, relationship with a debtor, etc.
- Verify receivables, billing, rebilling, rates, fees and ensure accuracy prior to funding to client.
- Be backup and support credit approval functions during crucial funding times.
- Be available to support Portfolio managers to manage their scheduled time according to policies and procedures.
- Performs other duties as assigned.
Operations Manager Knowledge & Experience:
- Proven work experience as an operations/portfolio manager or similar role
- Knowledge of organizational effectiveness and operations management
- Experience forecasting and accounts receivable aging analysis.
- Familiarity with business and financial principles
- Excellent communication skills

- To be able to orchestrate the daily Operations tasks smoothly
- Addressing operational concerns and issues, monitoring overall company policies.
