BrandStar Digital is seeking candidates for the role of Operations Manager to manage the day-to-day operations of the business while working closely with the President and department leads. This person sets daily priorities and has a significant influence on directing the workflow functions for the company’s continued success and growth. The Operations Manager must manage communications with team members, external vendors, and the appropriate team members within BrandStar’s corporate support departments to facilitate proper workflow and compliance with Accounting, HR and IT policies and procedures. As a key member of our team, the Operations Manager will drive strategic initiatives, implement best practices, and foster a culture of operational excellence to support the growth and success of our organization.
Specific responsibilities of the Operations Manager include:
- Team Support & Reporting: Support the Account Management, Creative, Digital, and Sales teams with developing and reporting on quarterly and annual goals and objectives.
- Goal Setting & Reporting: Collaborate with executive leadership to define organizational goals and objectives, and align operational activities accordingly. Monitor key performance indicators (KPIs) and metrics to track progress, identify areas for improvement, and drive operational excellence.
- Business Plan: Contribute to the development and implementation of the annual business plan, aligning operational activities with strategic objectives.
- Workflows: Develop and implement efficient workflows and processes to enhance productivity, streamline workflows, and reduce costs.
- Cross-Division Collaboration: Establish and maintain strong relationships with internal stakeholders, fostering open communication and collaboration across departments. Collaborate with department heads to ensure alignment of operational activities with strategic objectives.
- Project Management: Take charge of setting up and maintaining projects in the project management software system, including managing billing schedules and coordinating with finance for any queries.
- SOP Creation: Create Standard Operating Procedures (SOP), collaborating closely with the team to develop and implement effective procedures.
- Meetings & Agendas: Organize and lead weekly meetings for the Operations and Senior Leadership team, ensuring all relevant topics are covered and agendas are well-prepared.
- Time Report Review: Thoroughly review employee time reports for accuracy and completeness, identify areas of concern, then report to the Senior Leadership team.
- Contract Renewals: Coordinate and oversee the contract renewal process with clients and vendors.
- Financial Review: Analyze financials and prepare reports for weekly finance meetings, including variance analysis and identifying action items. Ensure accurate revenue recognition and prepare detailed monthly dashboard reports, including time reports, P&L analysis, AR reports, variance reports, and fixed vs. variable analysis.
- Special Projects: Lead special projects and initiatives as assigned, leveraging cross-functional teams to achieve desired outcomes.

Required Experience:
- Bachelor’s degree or equivalent experience in business administration required.
- Proven experience in operations, business, and/or project management.
- Prior experience working in a marketing agency or service provider strongly preferred.
- Strong verbal and written communication skills.
- Proven organizational skills and impeccable attention to detail.
- Excellent time management skills with proven ability to meet deadlines.
- A high degree of professionalism in dealing with varied groups of people, including all levels of employees and management, clients, and vendors.
