About the Job
We’re seeking an Operations Manager, based in Chicago, Illinois, who will lead the daily operations, ensure the seamless execution of monetized marketing processes, and contribute to our agency’s strategic growth. We are a premium Design/Build/Furnish firm that renovates premium industrial/food/life science interiors. We have 26 staff, expect revenue of $25M in 2025 and perform all work using subcontractors with no labor on staff. All projects are direct to owner, we do zero bid work and draw and stamp all our own drawings using our internal staff of designers and architects.
*About 25 % of our work is out of state within our quad state region and we have a staffed sales office in central Ohio.
As Operations Manager, you will oversee all operational functions, ensuring that our influencer and brand client monetized marketing processes are executed efficiently and effectively. Your expertise in organizational leadership, process optimization, and strategic thinking will be essential to driving the agency’s success.
Operational Leadership
- Day-to-day Operations:Oversee the operational flow of the agency, ensuring seamless coordination between teams and timely execution of influencer and brand marketing campaigns. Manage client-specific timelines, budgets, and deliverables.
- Strategic Development:Develop and implement strategies for optimizing workflow and improving team efficiency, ensuring that all processes align with the agency's long-term goals and client expectations.
- Performance Metrics:Define, track, and report on key performance indicators (KPIs) for both internal operations and client processes, ensuring that all marketing input processes meet the highest standards.
Influencer | Client Relations
- Client Liaison:Serve as the primary point of contact for clients, maintaining clear communication between influencers, brands, and internal teams. Ensure that all stakeholders are aligned on project goals, expectations, and timelines.
- Client Onboarding:Supervise the onboarding process for new clients, ensuring they understand the agency’s processes, contracts, and deliverables. Maintain and update client files to track progress.
- Marketing Optimization:Continuously monitor client performance and brand impact, adapting strategies to meet evolving market trends and client needs.
Team Leadership & Development
- Team Oversight:Supervise and mentor internal teams, ensuring that workload is distributed effectively to meet deadlines. Provide guidance to ensure individual team members grow and develop within the company.
- Collaboration:Foster a positive, high-performance team culture that promotes creativity, accountability, and innovative problem-solving. Encourage collaboration between departments to streamline efforts.
- Training & Development:Organize ongoing training programs to keep the team updated with industry best practices, marketing tools, and influencer and brand-monetized marketing strategies. Ensure that team members are well-equipped to handle evolving trends in influencer marketing and luxury branding.
Process Improvement & Efficiency
- Workflow Optimization:Continuously evaluate internal processes and implement new tools or methods to streamline operations, reduce inefficiencies, and enhance collaboration. Introduce automation tools to enhance productivity.
- Technology & Tools:Leverage state-of-the-art project management software, CRM platforms, and analytics tools to monitor project timelines, client feedback, and campaign effectiveness. Stay ahead of industry trends to integrate new technologies into daily operations.
- Quality Assurance:Oversee content delivery and marketing outputs, ensuring marketing processes adhere to brand guidelines and aesthetic standards. Implement regular quality checks and audits.
Compliance & Risk Management
- Regulatory Compliance:Ensure all client contracts, content, and marketing strategies comply with legal regulations, including industry standards and guidelines set by the Federal Trade Commission (FTC).
- Contract Management:Review, negotiate, and manage contracts to ensure they reflect the agency’s best interests while maintaining transparent communication and building strong relationships with clients.
Financial Management
- Resource Allocation:Work with the finance team to allocate resources effectively, ensuring the most efficient use of the agency’s resources while balancing project costs and client expectations.
Performance Evaluation & Review
- Annual Reviews:Conduct thorough annual performance reviews for internal staff and evaluate processes, identifying areas for improvement. Work with leadership to plan for organizational growth and process refinements.
- Client Feedback:Regularly gather client feedback to assess satisfaction levels, adjusting strategies or processes to meet client expectations. Provide actionable insights to improve client relationships and agency offerings.
Required Skills & Qualifications
Experience
- Bachelor's degree in Marketing, Business, or a related field.
- 3+ years of experience in operations management, particularly within influencer marketing or luxury brand marketing.
Skills
- Expertise in campaign analytics, ROI analysis, and influencer performance measurement.
- Proficient in using tools such as Google Workspace, Canva, CRM platforms, and project management tools (Asana, Monday.com).
- Strong understanding of social media platforms, algorithms, and paid advertising tools (Meta, TikTok, Pinterest, YouTube).
- Strong Understanding of Online Marketing and Monetization Processes
