Position Summary:
Greetings from The Fun Kids Dentist Pediatric and Orthodontic Dental Office! We are excited to welcome new team members into our office. Here at The Fun Kids Dentist, our number one priority is our patients. We strive to provide the highest level of pediatric/orthodontic dental care. We believe that in order to provide this top level of care and customer service for our patients, we need to find the most talented individuals that enjoy being part of a fun and passionate team of dental professionals. We are currently looking to add an Operations Manager to our growing office. An Operations Manager is responsible for ensuring that the "service experience" is consistently provided for all patients, quality office operations are maintained, employees are led and empowered in a positive manner, and financial contribution is maximized. This job requires exercise of independent judgement and discretionary powers in the day-to-day performance of job duties such as overseeing employees and communication with the doctors. The operations manager will be responsible for motivating, inspiring, and managing the office team in alignment with our office policies, goals, and ethics.
Education/Experience:
Education/Experience:
- Bachelor's degree in Business Administration
- 3+ years experience successfully managing a complex enterprise, human resource, finances, operations, or strategies
- Proficient ability to manage complex budgets
- Proficient ethical leadership
- Excellent communication skills, both written and verbal
- Outstanding people skills
- Ability to make projections three years into the future
Skills/Abilities:
- Good interpersonal skills for motivating and maintaining an effective and POSITIVE team environment throughout the practice.
- Ability to generate and analyze practice reports, to troubleshoot computer/software problems, and to communicate with computer support and practice management system companies
- Ability to prepare and update manuals and generate written correspondence as needed
- Effective verbal skills to supervise the team as well as to communicate with the doctors
- Conflict-resolution skills and the ability to make decisions independently
- Ability to efficiently manage multiple tasks at once, pay close attention to detail
- Excellent organizational skills
Responsibilities (including, but not limited to):
Practice Management:
- Maintain an atmosphere of cooperation and understanding with the practice.
- Schedule and actively participate in routine team meetings
- Analyze the progress of the practice including reporting and accountability of practice health to doctors/owners
- Reviewing profit and losses with practice administrator
- Analyzing and updating treatment fees
- Maintain inventory systems and budget for business supplies
- Monitor and update (as needed) system of correspondence for communications with patients, parents, and referring doctors.
- Perform additional projects or tasks as designated by the doctors/practice administrator.
- Delegate and oversee projects as needed with team members/leadership in the office, set deadlines, and follow-up with accountability.
Staff Management/Human Resources (working with current leadership on the following):
- Recruit and interview potential team members with the help of the doctors and appropriate team. Make recommendations to doctors for hiring, termination, and salary increases when appropriate.
- Implement personnel policies, and update as necessary. Oversee policies are being followed, and accountability with team members/documentation in files as needed.
- Prepare and conduct regular team performance reviews with the doctors.
- Participate in (and share with the team) any discussions with patients/parents regarding compliments or complaints.
- Develop the calendar of patient days with consideration for team and doctor meetings, vacation, holidays, etc.
- Manage all schedule related issues including:
- Time and attendance of team members
- Granting/denying requests for days off
- Record vacation time accrued and time off, with and without pay for all employees and day-off coverage schedule
- Orient new team members
Education and Training of Staff:
- Update office literature and inform team of new techniques, appliances, trends in the profession
- Structure educational programs for self and team to maintain the highest level of expertise in clinical and business functions
- Maintain current systems manual
- Organize training sessions for new team members. Oversee proper training schedule is followed, and new team members are meeting timeline/goals. Set schedule for cross-training sessions for existing team.
Practice Promotion:
- Oversee and help develop/update marketing strategies for attracting new patients and creating enthusiasm among existing patients (work with marketing coordinator)
- Oversee/develop, maintain, and promote positive relationships with referring and non-referring professional offices
Statistical Record-keeping
- Generate monthly and yearly reports to review with the practice administrator and doctors, including:
- Patient statistical reports
- New patients entered into system
- Practice management reports
- Final Transactions Total
- Accounts receivable aging reports
- Referral source report
Payroll and Accounts Receivable:
- Oversee/assist with front desk coordinator tasks and financial coordinator duties/role to ensure maximum financial contribution.
Network/Computer Troubleshooting:
- Communication with software companies to keep current with changes, revisions or updates of software programs
- Thorough understanding of each aspect of the computer system.
Job Type: Full Time
Salary: $65,000-$85,000 salary; $5,000 Sign-On Bonus
