Role Overview:
The Operations Coordinator will be responsible for managing system integrations and overseeing the flow of information between accounting, operations, and inventory systems. You will proactively monitor and resolve integration issues, ensuring minimal disruptions to business processes while identifying areas for improvement and leading system enhancements.
In addition, you will manage all aspects of inventory control, including monitoring stock levels, coordinating shipments, handling FOB terms, and maintaining accurate cost allocations.
Key Responsibilities:
Manage IPaaS System:
- Continuously oversee integration flows between accounting and operations systems to ensure they function smoothly and efficiently.
- Proactively identify potential issues and implement preventative measures to mitigate risks.
- Troubleshoot and resolve any integration-related issues that arise, ensuring minimal disruption to business operations.
- Maintain detailed records of issues and resolutions to support continuous improvement efforts.
- Lead the implementation of new system enhancements and improvements, ensuring they align with business goals.
Inventory Management:
- Monitor and maintain optimal inventory levels to ensure the smooth flow of operations.
- Coordinate with suppliers and freight forwarders to manage transportation, shipment tracking, and resolve any delivery delays or issues.
- Work with the finance and procurement teams to oversee cost allocation for inbound shipments, ensuring that all landed costs, including shipping and handling, are accurately recorded.
- Handle FOB terms, coordinating with suppliers and freight carriers to ensure smooth transfer of goods ownership.
- Generate inventory reports, including stock levels, shrinkage, and turnover rates, and present findings to the Operations Manager.
Order Processing & Coordination:
- Collaborate with procurement and warehouse teams to receive and organize inbound shipments.
- Collaborate with the procurement and finance departments to maintain and verify the cost structure for inbound shipments, ensuring that pricing and costs are within budget.
- Ensure timely fulfillment of customer orders by coordinating with the warehouse and distribution teams.
- Track and update purchase orders, work orders, and stock transfers to maintain accurate records.
Process Improvement:
- Work with cross-functional teams to identify opportunities for process improvement in inventory management and warehouse operations.
- Implement best practices to optimize storage space, streamline workflows, and enhance the accuracy of inventory tracking systems.
