A Brief Overview
The Operations and Facilities Assistant will be responsible for performing diverse duties and functions that support the needs of the Facilities Team, and specifically the Facilities Director. This role must exercise independent judgment and attention to detail, understanding of current and future projects and initiatives, and place an emphasis on organization and reporting.
What you will do
- Assist with the administrative needs of the Facilities Team, including but not limited to lease tracking, lease payments, vendor contract reviews, bill payments, and the admin for the Facilities online systems.
- Update and maintain the building information. This includes current seating arrangements, available seating space, leasable space, building size, building documents and accurate information.
- Provide professional internal communication to bank staff with updates on projects including updates, kickoff calls, follow up requests, and general information.
- Assist with creating and modifying the policies and procedures related to operations and facilities. Organize and maintain the Building Documents folder.
- Gather data and create monthly reporting to be shared with senior management. This will include updates on current and upcoming projects, monthly spending, and project costs.
- Coordinate and monitor to-do lists for projects, follow up with vendors and tenants, maintain the facilities team calendar, and coordinate and set up staff meetings both internally and externally.
Other Qualifications/Requirements
- Associate’s Degree and Minimum 2 Years Administrative Functions Preferred or equivalent combination of education and experience
