What We're Looking For:
Crystal Stairs is seeking an Operations Assistant to support the Operations Department. The Operations Assistant will represent the Operations/Facilities department to internal and external entities and coordinate all facets of physical plant maintenance at Crystal Stairs' facilities. The Operations Assistant responsibilities include the delivery of quality services in the following areas:
- Coordinate all facets of physical plant maintenance at Crystal Stairs' facilities.
- Service help desk requests, maintain keys and key cards, and interface with repair personnel and other vendors
- Assist supervisors with sourcing, comparing, and recommending bids for repair work and other facility related functions.
- Maintain the equipment inventory and identification tagging, perform physical inventory of assets as needed.
- Prepare meeting rooms for use by staff and authorized visitors.
- Handle daily kitchen supply distribution and maintain adequate kitchen and paper supplies. Order supplies as needed when minimum inventory levels are reached.
- Assist with the management of all aspects of the agency's building and parking card programming.
- Provide backup in bookkeeping of supply ordering and supply receipts according to the fiscal guidelines and CSI's policies and procedures.
- Process received supplies and assist in storing received supplies.
- Assist in processing all outgoing mail, and maintain postage meter records, including adequate balance and monthly postage documentation for fiscal records.
- Store agency files at offsite location. Assist with the management of all aspects of the agency's records retention program.
- As needed, be available to respond to urgent after hours and weekend facilities concerns.
- As needed, drive agency or personal vehicle to provide offsite support for agency business.
- Work mandatory overtime to support agency business, when needed.
- Other duties as assigned.
EXPERIENCE, KNOWLEDGE, SKILLS AND ABILITIES YOU SHOULD POSSESS:
- High School graduate or equivalent, some college preferred. Related work experience may be substituted for college level education.
- Minimum of two years general office/administrative support work experience, preferably in an Operations/Facility related position.
- Must have knowledge of general operations and facilities management. Strong computer skills required. Bilingual English/Spanish is a plus.
- Requires strong problem-solving and follow-up skills. Ability to work well under pressure and manage priorities to meet tight deadlines. Must have strong multi-tasking and organization skills. Requires excellent customer relations skills with the ability to communicate effectively with all levels of management.
- Requires the exercise of independent discretion and judgment in determining course of action for specific situations. Involves application of broad knowledge of operation and facilities management.
- Requires ability to lift 40 pounds as well as the physical agility and strength to regularly lift and/or carry office supplies or materials. On an as needed basis, must be able to work mandatory overtime and weekends to meet deadlines.
