Veterans Inc., the largest provider of services to veterans and their families throughout New England, is looking for a professional, highly motivated, goal-oriented, skilled, and hardworking individual to fill the Operations Coordinator position and become a valued member of Veterans Inc. team!
Under the daily supervision of the Logistics Manager this position provides administrative support along with clerical tasks that aid the daily business operations of the organization.
Essential Functions:
- Executes purchasing process by receiving all purchase requests, ensuring authorization, and submitting purchase.
- Maintains communication with all agency vendors and their representatives, as well as online vendor accounts
- Oversees tracking of vehicle fleet maintenance and fleet fuel account.
- Maintains Operations Master Guide for day to day reference.
- Responsible for inventory control; track and identify all inventory.
- Co-Chairs the Safety Committee to promote safety awareness through training and information
- Responsible as Certified Active Shooting Training Instructor
- Responsible for key control procedures and tracking
- Coordinates Site visits/inspections with Facilities Manager, Food Services Manager, and Site Coordinators
- Coordinates VA yearly inspections with Operations Team, Site Coordinator, and Regional Manager
- Coordinates donation pickups between the Donations Department, Facilities Department, and Command Post.
- Facilitates meetings with Operations staff as needed when delegated by Director of Operations
- Identifies inefficiencies in daily operations duties and makes recommendations to Director of Operations
- Provides supervision and management to Receptionist at the Grove Street location
- Attends and actively participates on all Veterans Inc. and external meetings as required.
- Maintains a positive relationship with the clients, staff volunteers and visitors.
- Other duties and special projects as assigned.
Knowledge, Skills, and Abilities:
- Ability to understand, communicate and follow Veterans Inc. policies and procedures.
- Ability to work in front of a computer monitor for long periods of time.
- Ability to solve basic math calculations.
- Ability to follow verbal and written instructions.
- Ability to maintain confidentiality.
- Ability to be flexible, adapt to changing situations, meet deadlines, and work under pressure.
- Ability to resolve problems within scope of responsibilities.
- Ability to maintain acceptable attendance and punctuality standards.
- Demonstrates strong interpersonal skills and ability to interact effectively and professionally with veterans, staff, management, vendors and other referral sources as needed
- Must be able to communicate effectively with clients, staff, volunteers and visitors, both orally and in writing.
- Responsible for responding effectively to changing demands.
- Proficiency in all Microsoft Office applications is required.
- Must be able to successfully pass a background records check and drug screening.
Education and Experience Requirements:
- Minimum of an Associates degree in Business Administration or other related field.
- Minimum of year of clerical or administrative experience in an office setting.
