ABOUT THE JOB
We are seeking a full-time Operations Associate to join our team. This position is based in our Portland office and will report directly to the Director of Operations. This is an opportunity to gain knowledge of the wine industry and experience in procurement and international logistics. We are looking for someone with a positive attitude who will integrate seamlessly into the Operations Team and contribute to the overall success of our growing wholesale operation.
THE DAY-TO DAY
Master Data Maintenance
- Responsible for general master data management, cross company and cross platform
- Own all SKU maintenance from item setup, maintaining proper costing, pricing and its integration with downstream systems, such as ERP and CHRM software (AS400, Business Central, and Pocket Advantage).
- Record depletion allowances and oversee supplier billbacks.
Working within ERP system, manage allocations of products (entry, “trading”, releasing, sunsetting, question answering, etc.)
- Conduct routine data audits between ERP system and Marketing/Sales allocation and pricing grids.
- closely with Brand Management to track and record COGS.
- Inventory Reconciliation between warehouses and ERP system and record inventory adjustments accordingly.
- production forecasts based on safety stock level commitments and shipment trends for warehouses.
- Manage open orders within ERP system to ensure fluidity of communication between the sales teams and the warehouses.
- Develop and provide reporting and bulk data uploads into ERP system, as needed.
Administration
- Assist in general administrative duties in the office such as receiving samples, preparing airfreight shipments, helping to set/break down sales room for events, etc.
Sales Service Assistance
- Liaise with the sales management team to ensure timely and accurate response to market needs.
- Facilitate communication between warehouse personnel, sales representatives, and customers via phone and email.
- Assist with sales order and sample order processing, invoicing, and credits.
AM I THE RIGHT FIT?
- 1-2 years of experience in supply chain or operations experience required.
- Ability to handle heavy daily communication via email and telephone in a fast-paced environment.
- Must possess strong MS office skills and be incredibly organized.
- Able to work within a team yet capable of managing your responsibilities.
- Wine knowledge is a plus.
