About the Job
Responsibilities:
- Answers, screens, and directs phone calls to staff; takes messages.
- Receives mail, documents, packages, and courier deliveries and delivers or distributes items.
- Serves visitors by greeting, welcoming, and directing them appropriately.
- Set up meetings in conference room.
- Office Maintenance which includes but not limited to putting dishes in dishwasher, storing clean dishes in cabinets, replenishing coffee and cold beverages, cleaning refrigerators, cleaning after events, tossing trash and receiving food from vendors.
- IT Liaison as needed.
- Provides administrative support to ensure efficient operation of office. (e.g., end of month meeting, renewal log processing, RSP liaison back up, PO Batch log back up, Oden notices back up, Incoming Index back up, office calendar management, timecard processing.)
- Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
- Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
- Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies.
- Submits carrier invoices to corresponding department.
- Assist with Events Planning for Staff, Marketing Efforts, Conventions, Food ordering.
- 2+ years of administrative experience preferred
- Bachelor's degree preferred
- Proficiency with Microsoft Office products, particularly Excel and PowerPoint
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
