About the Job
Key duties/responsibilities of Operations Assistant/Dispatcher
- · Obtaining pricing and item information for purchasing and bidding support.
- · Preparing spreadsheets and obtains details for price increases.
- · Assisting employees with field, contract or billing problems.
- · Compiling Sales Manual of standard materials and options offered for each project.
- · Maintaining vendor list of prospective subcontractors and materials/new products.
- · Assisting with new project bidding.
- · Obtaining information required for contracting, addendums and options.
- · Providing samples and information to sales staff.
- · Compiling bid packages (including plans and job information) for all subcontractors bidding a job.
- · Work directly with senior level managers to develop purchasing strategies.
- · Analyze data and make recommendations to reduce expenses while maintaining or improving quality.
- · Purchasing and procurement of travel.
- · Communicate with vendors and suppliers.
- · Generate purchase orders in Sage.
- · Negotiate prices and obtain competitive quotes.
- · Make recommendations to modify purchases based on cost analysis.
- · Maintain job costing data entry.
- · Training Matrix & Support.
- · Dispatch and Track Rentals and other job-related materials.
- · Back Up Phone Support.
- · Other assistance with Operations as needed.
Qualifications/Requirements
- · High School Diploma
- · 1-2 years of prior work experience in administration or purchasing a plus
- · Must be able to work without close supervision
- · Strong organizational skills and effective communication skills (English)
Proficient in Microsoft Office Suite, excellent in Excel - · Knowledge of Sage Contractor a plus
- Spanish is a plus
