Primary Purpose: - Performs various administrative and clerical duties in support of field operations and field engineering group at Elba Island
Essential Duties and Responsibilities: - Check, code and process invoices, payments and track expenses
- Generate contracts, prepare general service agreements, work directives and request for services
- Assist in tracking and trending of information and generating reports on an ad hoc basis
- Keep stock of office supplies and place orders when necessary
- Assist with, receiving, verifying, and shipping of supplies, courier services and office mail
- Assist staff with expense reports and purchase card reconciliations
- Plan and coordinate office activities like events, meetings and training
- Order and pick up lunch for meetings as necessary
- Manage pool vehicle maintenance schedules
- Attend team meetings as required
- Regular and predictable attendance
- Other duties as required
Minimum Requirements: Education: - High school diploma or equivalent (required)
- Associates/bachelor’s degree or equivalent (preferred)
Experience/Specific Knowledge: - 3 to 5 years hands-on experience working in an administrative capacity in a fast-paced office / professional environment preferred
- Some college or professional office administration training preferred
- Advanced excel skills preferred
- Experience in Lawson preferred
- Knowledge of PC operations and other related database applications
- Must be proficient in and have at least 3 years active experience with Microsoft Office applications (Excel, Outlook, Word, and PowerPoint)
- Records retention and records maintenance experience preferred
Certifications, Licenses, Registrations: - Must possess and maintain a valid driver's license and be insurable by the company insurance carrier
- Must meet the criteria to maintain a Transportation Workers Identification Card (TWIC) as required by USCG/DHS regulations
Competencies/Skills/Abilities: - Must have proven interpersonal skills and strong communications skills to be able to interact effectively and professionally with all levels of internal and external customers
- Organizational skills and the ability to prioritize tasks are essential. Must be a problem solver with the ability to take initiative and find resolution to issues.

- Identifies the problem and all relevant issues in straightforward situations, assesses each using standard procedures, and makes sound decisions
- Must be able to successfully perform multiple tasks under pressure with strict and simultaneous deadlines
- Must be able to work with a team, take directions from supervisors, adhere to required work schedules, focus attention on details and follow work rules
- Must be able to maintain confidentiality
- Must be able to complete and maintain all regulatory and corporate training as required for this position
- Basic computer skills (knowledge of MS Office, various operation systems and other company software)
- Basic mathematical skills (add, subtract, multiply and divide in standard units of measure, using whole numbers, common fraction and decimals)
- Must be able to speak and understand English
- The successful candidate will be required to clear a drug test screen and complete a background check after an offer has been extended and prior to being employed.
Physical Demands: - Must be able to lift and carry up to 25 pounds on an occasional basis
- Must be able to sit for prolonged periods of time
Working Conditions: - Must maintain regular, dependable attendance and a high level of job performance
- Must maintain a high regard for personal safety, the safety of company assets and employees and the general public
- May be required to work non-traditional hours as needed as well as overtime hours
