About the Job
Non-Profit Organization located in Central Harlem is seeking to hire a Temporary Operations Administrative Assistant to start ASAP with a minimum commitment through April 2025. There is a high likelihood this role goes perm if it's the right fit. This position will operate on a hybrid schedule, requiring Tues-Thurs on-site with Mondays/Fridays remote. Hours are 10am-6pm with an hour lunch break (35-hour week). This individual will play a large role in ensuring the smooth operation of daily functions, supporting the Operations Department and collaborating with department managers to streamline workflows. Pay rate is $30/hour while temp.
Key Responsibilities:
- Act as the central contact for the Operations Department, coordinating internal and external communications.
- Manage email correspondence and schedule meetings, appointments, and events for the Chief Operating Officer.
- Organize and maintain project schedules, ensuring key milestones are met on time.
- Facilitate communication between the Chief Operating Officer and department managers, ensuring alignment on priorities and actions.
- Serve as liaison for project teams and stakeholders, ensuring timely information flow.
- Edit and distribute board reports and documents for the Real Estate Board Committee and Operations Management.
- Maintain project documentation, including contracts, reports, and meeting minutes.
- Coordinate cross-departmental tasks and deadlines to support operational efficiency.
- Organize department meetings, follow up on action items, and ensure project deliverables align with goals.
- Coordinate resources, personnel, and materials for efficient project execution.
- Act as a backup to the Executive Assistant to the President and CEO as needed.
- Manage contract execution for COO signature and maintain organized records.
Qualifications:
- Proven experience in administrative roles, preferably in operations or related departments.
- Strong organizational and multitasking skills with the ability to manage multiple priorities.
- Flexibility and agility in adapting to changing needs in a fast-paced environment.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office and Concur.
- Ability to work independently and collaboratively across teams.
