Responsibilities
The Covenants Coordinator is responsible for working in coordination with the Assistant Manager to provide architectural and covenants contracted services to Cardinal Management Group’s client and unit owners at Cardinal Forest CUOA. The Covenants Coordinator will perform all duties in accordance with the approved Mission, Vision, and Values of Cardinal Management Group.
Duties / Responsibilities:
- Assist Unit Owners via email, phone, Zoom & portal regarding ARC questions, applications and violation notices.
- Receive and review ARC applications for accuracy and processes the documents for approval by the Board of Directors.
- Generate weekly ARC reports to the Board of Directors.
- Conduct semi-weekly covenant enforcement inspections to determine compliance with covenants and policies and issue notices of non-compliance when applicable.
- Conduct annual inspections of unit exteriors according to a prescribed schedule to ensure compliance with the Design Guidelines and other applicable association documents.
- Develop the ability to evaluate the legitimacy of Unit Owner requests/complaints based on an understanding of governing documents, rules, and regulations.
- Respond to Unit Owner requests to clarify the nature of violations and assist owners with compliance in both verbal and written form. Respond to all requests and concerns promptly and professionally.
- Respond to unit owner complaints regarding other resident covenant violations, obtain information to document the complaint, inspect reported violations, and determine the validity and appropriate action for processing the complaint.
- Submit recommendations to supervisor on how to resolve complaints or appeals to the Board of Directors.
- Create violation notices as needed and coordinate follow-up action. Document all actions and prepare case history for escalation to the BOD for review before Hearings meetings.
- Prepare and distribute agenda for ARC Violation Hearings and attend Violation Hearings meetings.
- Assist in developing covenant enforcement plans and schedules to address specific areas of concern and new trends that may affect the architectural guidelines (such as electric vehicle charging, fire pits, use of common areas, etc.).
- Perform vehicle and parking violations, tag vehicles as necessary, and coordinate the removal of the non-compliant vehicles with the Association’s towing contractor.
- Perform annual Boat Lot inspection and process semiannual invoices.
- Perform other related duties as assigned by the Assistant Manager, Operations Manager or General Manager.
- Maintain accurate records and enter data in Association databases.
Qualifications
Requirements:
- High School Diploma or GED required
- 1-2 years administrative experience preferred
- Knowledge of property management or real estate industry preferred
- Experience in covenants preferred
- Strong Project Management Skills
- Understanding of basic contract and client management; customer service-oriented
- Excellent knowledge of Microsoft Suite (Outlook, Excel, Word)
- Strong verbal and written communication skills
- Willingness to be supervised by more than one Manager
- Independent, self-motivated, proactive
- Position requires walking and inspecting the property indoors and outdoors on a daily basis
- Fluent in Spanish is a plus
Compensation = $22.00 - $26.00 hour Depending on education and experience
