Position Overview:
We are seeking a detail-oriented and organized Office Administrator/Bookkeeper to manage a range of administrative, financial, and HR functions. This role is integral to ensuring the smooth operation of our commercial projects and maintaining accurate financial records.
We are seeking a detail-oriented and organized Office Administrator/Bookkeeper to manage a range of administrative, financial, and HR functions. This role is integral to ensuring the smooth operation of our commercial projects and maintaining accurate financial records.
Key Responsibilities:
- Billing: Prepare and send invoices to commercial clients; knowledge of AIA billing preferred.
- Accounts Payable: Enter payables, manage the payable schedule, and assign materials to projects for job costing.
- Bookkeeping: Enter transactions in QuickBooks Online (QBO), categorize appropriately, and close out books at the end of each month.
- Payroll: Collect hours, process payroll, and assign hours to jobs for accurate job costing.
- HR Support: Serve as the point of contact for employee questions about health insurance, 401k, and PTO policies.
- Software Expertise: Knowledge of Service Titan is a strong plus!
Qualifications:
- Proven experience in bookkeeping, payroll, and billing (AIA experience is a bonus).
- Familiarity with QuickBooks Online and job costing principles.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks efficiently in a fast-paced environment.
- Effective communication skills and a customer-service mindset.
