We are seeking a dynamic and experienced Full-Time Office Services Coordinator to join our thriving legal firm. This position is integral to our team, ensuring that our office operations run smoothly and efficiently. The ideal candidate will have a background in vendor management, coordination, notary work, software skills, supply management, document management, and clerical support. This role requires a minimum of 3 years of experience in a similar capacity, preferably within a professional services office
Responsibilities:
As an Office Services Coordinator, your primary responsibilities will include:
1. Managing relationships with vendors and service providers to ensure that all items are invoiced and paid on time.
2. Coordinating office activities and operations to secure efficiency and compliance with company policies.
3. Supervising administrative staff and dividing responsibilities to ensure performance.
4. Maintaining stock of office supplies and placing orders when necessary.
5. Providing notary services as required.
6. Utilizing various software applications to perform clerical duties such as scheduling, word processing, data entry, and email management.
7. Managing the organization's document management system, ensuring that all necessary documents are accurately filed and updated as needed.
8. Providing clerical support to the team, including managing mail, photocopying, faxing, and filing.
9. Assisting in the onboarding process for new hires.
10. Addressing employees’ queries regarding office management issues.
Qualifications:
The successful candidate for the Office Services Coordinator position will possess the following qualifications:
1. 3-5 years of experience in an office coordination role, preferably within a professional services office.
2. Proven experience as an office coordinator or in a similar role.
3. Experience in vendor management and supply management.
4. Certified Notary Public is a plus.
5. Excellent knowledge of MS Office and office management software.
6. Outstanding communication and interpersonal abilities.
7. Excellent organizational and leadership skills.
8. Familiarity with office management procedures and basic accounting principles.
9. Strong attention to detail and problem-solving skills.
10. Able to multitask and prioritize work.
11. High school diploma; BSc/BA in business administration or relevant field is a plus.
