Job DescriptionWe are seeking a personable Office Receptionist to join our team and provide administrative and organizational support at our Headquarters in Alexandria, VA. As the first point of contact, you will play a key role in creating a positive and welcoming experience for all visitors, clients, and staff. The ideal candidate is highly organized, detail-oriented, and thrives in a dynamic environment. They will manage front desk operations, coordinate incoming and outgoing communications, and support various administrative tasks to ensure smooth daily operations. Strong communication and customer service skills are essential, as well as proficiency in managing schedules, handling inquiries, and maintaining a tidy and professional reception area.
Responsibilities:
- Assist C-Suite with day-to-day responsibilities and projects
- Provide excellent customer service, fielding calls and requests in a professional manner
- Welcome visitors in a warm and friendly manner, and answer any questions visitors have and ensure they follow HQ visitor protocols
- Maintain cleanliness and organization of the reception area and all common spaces at all times.
- Operate standard office equipment on a regular basis, including a copy machine and a computer
- Facilitate events for 200+ employees in coordination with communications staff
- Propose new ideas to improve event planning and effectively implement the ideas
- Receive deliveries; sort and distribute incoming mail
- Take inventory of supplies and restock as needed
- Coordinate employee recognition events with Human Resources team
- Professionally communicate with internal and external leadership
- Manage building access for employees and visitors, updating permissions as required.
- Schedule and prepare conference rooms for meetings, handling special arrangements for guests, catering, and technology setup.
- Retain information according to company guidelines
- Learn the office occupants’ specific needs and schedules
- High school diploma or general education degree (GED) required
- 1-3 years of relevant experience in an office environment
- Proficient in MS Office (Word, Excel, Outlook) and office management software.
- Exceptional phone etiquette and communication skills
- Demonstrated ability to read, write, and speak English
- Skilled in multitasking and prioritizing tasks independently
- Excellent interpersonal skills
- Punctual with strong attendance history
- Demonstrates a high level of integrity and professionalism
