About the Job
The Medical Office Manager (MOM) reports to the Practice Physician and/or the Practice Administrator. Under the direction of the Practice Physician, the Medical Office Manager (MOM) will provide superior clinical patient care. Additionally, one of their functions will be to supervisor the clinical and secretarial staff at the practice.
· Supervise all of the Certified Medical Assistant's (CMA) and Medical Receptionist (MR) within the Physician Practice.
· Prepare the weekly office schedule, and when necessary, schedule the full-time/part-time/floater staff to rotate between different practices to cover.
· Will coach, mention, and influence technical leadership, as well as, foster teamwork within the Physician Practice to coach and counsel behaviors.
· Enters, maintains, and reports using Electronic Medical Record (EMR).
· Promptly investigate all outpatient denials pertaining to diagnosis and procedure coding.
· Updates all patient files and make sure documents are accurate, confidential, and compliant.
· Greets, check in and checkout patients, and advices other medical staff of arrival of patient's.
o Take patients' vital signs, temperature, pulse, blood pressure, height, weight, and medical history.
o Record and update all patient information from pulse oximetry, changes in allergies, and pain levels in EMR.
o Performs venipuncture and electrocardiograms, as ordered by the physician.
o Collect, preserve, and properly label laboratory specimens, bodily fluid, and blood samples.
o Provide patients' with privacy, comfort, safety and hygiene.
· Assisting the Practice Physician during examination and may be called upon to explain medical procedures to patients. This may include, instructing patients about medication and special diets under the direction of the physician. Provide educational material for patients.
· Address and request referrals and other insurance authorizations. As well as, passing along patient information for prescription, x-ray or lab requisitions to necessary parties. This includes, calling pharmacies, hospitals, and labs.
· Schedule appointments, reschedule, follow up with no calls, no shows, the discharge of patients, and follow up appointments.
· Conduct all patient billing and bookkeeping.
· Answer inbound calls to the practice, as well as, greet vendors and set vendor appointments. Will convey messages in writing, electronically, and verbally.
· Will maintain Physicians calendars and prepare all correspondence.
· Maintain inventory of all necessary supplies and instruments.
· Maintain and stock all equipment for all exam rooms and inventory. Maintains appropriate paperwork for inventory control and reviews orders received for completeness.
· Will prepare deposits for co-pays.
· Oversee charge entry, coding, and posting of charges.
· Ensure the waiting and reception areas are kept orderly and clean, and will report on any damages of furniture, supplies, or equipment.
· Monitor refrigerator temperature for all refrigerated vaccines.
· Act as a liaison with patients, referrals, general practitioners, health care professionals, and patient's family member in a compassionate and kind manner.
· Other clinical and office responsibilities, assigned by Physician, as deemed necessary.
