Responsibilities
- Answer phone calls throughout the day (4th pick up as needed)
- Scheduling meetings and appointments within the office
- Organizing the office layout and ordering stationery and equipment
- Maintaining the office condition and arranging necessary repairs
- Process payroll twice per month utilizing Paychex
- Ensure all requirements for multi-state payment are completed.
- Respond to all employee inquiries regarding pay.
- Ensure that all items are invoiced and paid on time
- Organize office operations and procedures.
- Update and maintain office policies as necessary, and consult with HR as needed.
- Facilitate the onboarding process for new hires.
- Coordinate with IT department on all office equipment
- Manage contract and price negotiations with office vendors, service providers and office lease
- Manage office G&A budget, ensure accurate and timely reporting
- Provide general support to customers
- Liaise with facility management vendors, including cleaning, catering and security services
- Plan in-house or off-site activities, like parties, celebrations and conferences.
- Respond to routine inquiries through calls, fax, email, web forms and in-person from our Association Customers regarding their accounts and billing.
- Follows safety procedures and maintains a safe work environment.
- Attends all management/staff meetings.
- Assist with special projects and reports as requested by the Owner/President.

- Organize work by checking and responding to all communications (in-box, voicemail, email, text, etc.) and completing all required documentation and paperwork (business, personnel, safety, etc.) in accordance with quality standards, practices, and deadlines.
- Project a professional appearance and a pleasant attitude towards co-workers, supervisors, and customers, and interface effectively and cooperatively with other professionals.
- Ensure and protect the confidentiality of Bridgeport Company’s information, including that of staff, supervisors, and outside contacts, and all other proprietary information.

Qualifications
- High School Diploma or equivalent.
- Minimum of 3-5 years of work experience as an office manager and/or bookkeeper.
- Proficiency in technology with working knowledge of QuickBooks, Microsoft Suite, Vantaca
- Strong verbal and written and verbal communication.
- Ability to work independently and manage and prioritize multiple projects.
- Extremely detail-oriented organizational skills, with the ability to establish and maintain record-keeping systems.
- Strong problem solver, ability to adapt to the circumstances and overcome the obstacles.
- Excellent interpersonal and teamwork skills, with a positive and collaborative attitude.
- Strong professional presence, with the ability to maintain the confidentiality of sensitive information and handle sensitive situations with discretion, tact and judgment.
- Physical stamina and ability to perform all tasks and job responsibilities required by the employer in a normal office environment, with normal temperature exposure and lighting.
- Ability to work in a sitting position in front of a computer screen for up to 8 hours per day.
- Clean background check and drug and alcohol test prior to start.
Pay and Benefits:
$85,000 to $95,000, depending on education and experience.
