We are looking for a stellar manager to lead our San Jose office! The Office Manager provides high-level administrative support to our San Jose office by meeting the administrative needs of both internal and external clients. Services are provided in a manner that demonstrates the highest levels of quality, accountability, and teamwork. Responsibilities:Responsibilities:
Office Management
- Maintain office services by organizing office operations and procedures; control correspondence; record retention; review and approve supply requisitions; assign and monitor administrative functions.
- Manage the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities. Work closely with the Facilities Manager and be the onsite contact for facilities matters.
- Maintain an attractive, organized, functional, healthy, clean and safe office.
- Maintain office efficiency by planning and implementing office systems, layouts, and equipment procurement. This includes office space allocations and future requirements.
- Negotiate the purchase of office supplies and furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions.
- Supervise the maintenance of office equipment, including copier, fax machine, etc.
Tax Support Management
- Work closely with the Tax Production leaders to coordinate services and activities.
- Demonstrate a deep understanding of the practice department and its Partners workflow, deadlines, clients and key initiatives they are involved in.
- Monitor the delivery of support to the Partners, by providing direct back-up support as needed.
- Maintain processing technology and equipment, and appropriate levels of necessary supplies, by planning ahead for busy periods.
- Employee Management:
- Manage the deployment and day-to -day service delivery team performance, utilization, cost management and customer satisfaction.
- Ability to understand and manage the diverse personalities/dynamics of an administrative team.
- Manage the office culture with the Office Head, Partners, Directors and Senior Managers. Work closely with the Office Head and your managers to coordinate services and activities
- Assign, delegate and continuously monitor administrative work assignments, reassigning work assignments when needed to maintain a balanced workload.
- Provide back-up support to the office support team and be able to cover breaks where needed.
- Assist office support in greeting visitors and providing onsite support to visitors where requested.
Experience:
- 5+ years administration management experience
- Must have previous experience managing an office team and experienced executive assistants
- Exceptional customer service and people management skills
- Experience in project management helpful
- Strong attention to detail, and a commitment to quality
- Excellent communication skills (verbally and written)
- Proven ability to take initiative, problem solve and implement resolutions
- Demonstrated leadership skills in all areas of supervision, development, coaching, training, communications, organizational, and people skills
- Extensive technical knowledge with the Microsoft Office Suite, Adobe
The salary range for this position is $85,000 - 135,000 per year.
