As we expand, we are looking for a talented Office Manager to help us continue delivering outstanding results to our clients.
As the Office Manager, you will be the backbone of our operations, ensuring that our projects run smoothly and our office is organized. This role is perfect for someone with a strong administrative background in the construction industry who is ready to take on new challenges and grow with our company.
Key Responsibilities:
- Office Management: Oversee daily office operations, including reception, supply ordering, and equipment maintenance. Manage and organize paperwork, including contracts, permits, and compliance documentation.
- Customer & Vendor Relations: Serve as the primary point of contact between customers, vendors, and the field team, ensuring clear communication and problem resolution.
- Administrative & Financial Tasks: Handle invoicing, A/R, A/P, bank deposits, and related administrative tasks. Review time card entries, track budgets, and perform daily job costing and labor tracking via Onestep GPS.
- Lead Management: Manage and input leads to ensure accurate tracking and follow-up.
- Licensing & Insurance Compliance: Verify that all subcontractors have the necessary insurance and compliance documentation before beginning any project. Manage and maintain all required licenses and certifications for the company and its employees.
- Project Support: Assist in the preparation and monitoring of project budgets, and collect/organize paperwork and documents for projects and permits.
- Marketing Support: Assist with social media management, coordinating photographers, and preparing promotional materials, including gathering Google Reviews and testimonials.
Qualifications:
- A minimum of 2 years of experience in a construction office management-related field.
- Meticulous attention to detail and a commitment to accuracy in all aspects of work.
- Strong organizational, administrative, communication, and interpersonal skills.
- Proficiency in QuickBooks Online, and Excel, and familiarity with project management software.
- Strong analytical skills and the ability to solve problems effectively.
- Ability to manage multiple tasks and prioritize effectively to meet deadlines.
