Responsibilities:
The Office Manager will be responsible for a variety of administrative tasks. This position is the representative of first impressions for the organization and a professional appearance and demeanor are critical. The individual is responsible for greeting customers and visitors, performing updates of plant reports in a timely and accurate manner, and maintaining plant files for the various departments. The primary duties of an Administrative Specialist include:
Provide leadership in the following areas either directly or through subordinates:
- Financial
- Ensure compliance to internal controls.
- Execute office management in compliance with Corporate Administrative policies and procedures.
- Assist Plant Controller with month end reports as assigned.
- Assist with Yearly budget.
- Accounts Payable/Accounts Receivable
- Generate and track purchase orders, receipts and invoices
- Monitor cost allocation to correct account numbers for office/HR
- Post goods receipts daily
- Payroll
- Check reported time for accuracy
- Enter and reconcile weekly payroll hours
- Report weekly hours for temp employees to agencies
- Reconcile temporary hours to invoices and process for payment
- Human Resources
- Understands, follows and enforces all established safety, health, quality, GMP and Company policies, procedures and recognized practices
- Assist with recruiting, interviewing and onboarding of new hires
- Create and maintain personnel files, training files and weekly payroll files.
- Process some employment transactions with Corporate Human Resources.
- Update and maintain attendance records, issue warnings and update discipline log
- Maintain Office equipment, schedule service and order supplies
- Manage incoming and outgoing mail
- Perform other similar or related duties as requested or assigned.
Skills and Proficiencies
Excellent organizational skills and attention to detail, able to juggle and prioritize multiple tasks simultaneously while delivering on commitments
Outstanding communication skills in written and verbal form; extensive public speaking, training, and/or leadership communication skills
Develop and maintain positive relationships with employees, supervisors, and managers
Flexibility to facilitate employee relations events on nights and weekends as necessary.
Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, and TEAMS) and the ability to quickly learn new systems. Experience with Learning Management Systems such as LITMOS
Qualifications:High School Diploma or Equivalent, Some College Preferred
Two to five years of administrative experience in a manufacturing or distribution environment is preferred
Prior experience in accounting and/or human resources is highly preferred
