Frontera Health is committed to providing exceptional ABA healthcare services to the Las Cruces community. We're seeking a highly organized and detail-oriented Office Manager to join our ABA clinic team and play a vital role in ensuring the smooth operation of our Las Cruces location.
About the Role:
As the Office Manager, you will provide essential administrative support to our clinical team, ensuring a positive and efficient environment for both staff and patients. You'll wear many hats, handling receptionist duties, managing office supplies and facilities, and providing excellent customer service to families. In addition, you'll play a key role in facilitating on-site events, coordinating with external partners, and keeping everyone informed through clear site-level communication.
Responsibilities Include:
Receptionist Duties:
- Greet patients and families warmly and professionally.
- Oversee patient sign-in/sign-out process.
- Manage and direct phone calls and other inquiries to appropriate staff members.
Office Management:
- Maintain office supply inventory and order new supplies as needed (excluding session materials).
- Manage office facilities and vendors, ensuring a clean, organized, and functional workspace.
- Oversee building and equipment safety protocols.
- Customer Service:
- Provide exceptional customer service to families, addressing questions, concerns, and requests promptly and courteously.
- Maintain clear and professional communication with all patients, families, and staff members.
Project Management & Event Facilitation:
- Manage and coordinate on-site events for employees and clients, including planning, budgeting, logistics, and execution.
- Secure necessary resources and materials for events.
- Develop and manage event timelines and agendas.
- Facilitate smooth event execution and provide on-site support.
Additional Responsibilities:
- May assist with scheduling appointments and managing calendars.
- Perform other administrative duties as assigned.
- May assist with data capture
Qualifications:
- High school diploma or equivalent required; Associate's degree a plus.
- Minimum 1 year of experience in an office administration or customer service role.
- Proficient in google suite (docs, calendar, sheets)
- Excellent organizational, time management, and communication skills.
- Ability to prioritize multiple tasks and work effectively in a fast-paced environment.
- Strong attention to detail and a commitment to accuracy.
- Positive and professional demeanor with a focus on providing exceptional customer service.
- Experience in project management and event facilitation preferred.
- Familiarity with ABA practices and experience in a healthcare setting is a plus.
Work Schedule
- The schedule for this position is 8am-5pm, Monday-Friday
