As my client firm grows, they are seeking a highly organized and proactive Remote Office Manager to support their operations and ensure seamless communication and administration across their teams.
Key Responsibilities:
- Administrative Support: Manage the day-to-day administrative operations, including scheduling meetings, handling correspondence, and managing office supplies (virtually).
- Client Communication: Serve as the main point of contact for client inquiries, assisting with documentation and providing excellent customer service.
- Accounting Support: Coordinate with the accounting team to manage client documents, assist with bookkeeping tasks, and track deadlines for filings and reports.
- Project Management: Oversee internal projects and ensure the timely completion of tasks related to our dealership, medical, and real estate clients.
- Data Entry & Document Management: Ensure accurate and timely data entry, maintain electronic filing systems, and manage workflow documentation.
- Staff Coordination: Act as the liaison between remote team members, scheduling meetings, and ensuring all team members have the resources they need to work effectively.
- Compliance Support: Assist with managing compliance documents, regulatory filings, and maintain up-to-date records for client industries.
- Proven experience as an office manager or administrative assistant, preferably within a CPA firm or a professional services environment.
- Familiarity with accounting principles and bookkeeping practices (a plus).
- Strong organizational skills, attention to detail, and ability to prioritize tasks in a remote working environment.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite, QuickBooks, and other relevant software.
- Ability to work independently and maintain strong time-management skills.
