About the Job
The Role:
The Office Manager and Executive Assistant will play a pivotal role in supporting the Executive Leadership Team (ELT) while ensuring the smooth day-to-day operation of our office. This role requires exceptional organizational skills, proactive problem-solving, and the ability to manage multiple priorities with efficiency and discretion. You will serve as a central figure in fostering a productive and collaborative environment, providing both administrative support and operational oversight.
Responsibilities:
Executive Assistant Duties:
Provide high-level administrative support to the CEO and other members of the ELT.
Manage calendars, schedule meetings, and coordinate travel arrangements for ELT members.
Prepare and organize meeting materials, agendas, and presentations for executive-level discussions.
Take detailed meeting notes and track follow-up actions to ensure accountability and progress.
Act as a point of contact between executives and internal/external stakeholders, maintaining confidentiality and professionalism.
Office Management Duties:
Oversee the day-to-day operations of the office to ensure a productive and well-organized environment.
Manage office supplies, kitchen stock, equipment, and vendor relationships to maintain a functional workspace.
Serve as the first point of contact for visitors, ensuring a welcoming and professional experience.
Coordinate company events, meetings, and celebrations, fostering a positive and inclusive office culture.
Implement and maintain office policies and procedures, ensuring compliance with company standards.
Coordinate with third parties as needed for IT related issues (i.e. computer issues, network issues, etc)
Administrative Support:
Support project management efforts by coordinating tasks, timelines, and resources for ELT initiatives.
Assist with onboarding new employees, including workspace setup and administrative orientation.
Handle ad hoc administrative tasks and special projects as needed to support the team.
Requirements:
Proven experience as an Executive Assistant, Office Manager, or in a similar administrative role.
Exceptional organizational and multitasking abilities, with acute attention to detail.
Excellent verbal and written communication skills.
Strong proficiency in Microsoft Office Suite and Google Workspace.
Ability to handle sensitive information with discretion and maintain a high level of confidentiality.
A proactive, resourceful, and problem-solving mindset.
Preferred Qualifications:
Experience in a fast-paced, growth-oriented environment.
Familiarity with project management tools and systems.
College Degree
Compensation and Benefits:
Competitive salary of $65,000 to $85,000, commensurate with experience
