About the Job
Our client, a financial organization in Boston’s Back Bay, is seeking an Office Manager / Executive Assistant to join their team.
Salary/Hourly Rate:
$95k – $105k
Position Overview:
The Office Manager/Executive Assistant will oversee daily operations, contribute to the Business Operations team, and handle office events and logistics. The ideal candidate will have direct reports, people management experience is essential to the role. The ideal candidate is hands-on, a strong communicator, and highly organized.
Responsibilities of the Office Manager / Executive Assistant:
- Manage small administrative team, ensuring smooth day-to-day operations.
- Assist with logistics for meetings and events.
- Coordinate office projects such as moves and re-organizations.
- Manage invoice payments, vendor expenses, and office supply orders.
- Support team members with expense reporting and travel arrangements.
- Troubleshoot office technology issues in collaboration with IT.
- Onboard new employees and maintain vendor relationships.
- Plan and execute office social events and global events hosted in Boston.
- Mentor and coach the Business Operations team.
- Manage schedules and calls for leadership and executives.
- Handle expense submissions and travel arrangements.
- Organize meeting logistics.
- Provide back-up support for other partners and senior leadership as needed.
Qualifications for the Office Manager / Executive Assistant:
- Strong organizational and administrative skills in a fast-paced environment.
- Excellent communication, attention to detail, and professionalism.
- Proficiency in Microsoft Office Suite.
- Strong interpersonal and customer service skills.
- Team-oriented with a flexible, entrepreneurial mindset.
- People management experience required.
Education Requirements:
- Bachelor’s degree with 4 – 5 years of relevant experience.
