Role Overview
We're on the lookout for an experienced and dynamic Office Manager /Executive Administrative Assistant who is ready to take on multiple responsibilities and thrive in fast-paced environments with poise. This role calls for someone with a strong sense of urgency and impeccable follow-through to support our leadership team and the Board of Directors. This position reports to the President and CSO. Location: Burlington, MA (Boston area).
This is a hybrid role requiring 1-2 days in the office. Preferably Thursday's and another day of your choice.
What You'll Do
As the Office Manager/Executive Administrative Assistant, you will:
- Coordinate and schedule Board of Directors meetings, subcommittees, and staff events, including managing meeting logistics and recording detailed minutes.
- Provide high-level administrative support/personal assistant support to Executives and Board of Directors, including some calendar management, travel arrangements, coordinating car services, etc.
- Oversee office operations in our Burlington, MA, location, liaising with building management.
- Manages confidential files, records, and documents including all Board materials
- Process expense reports for executive team including working with the finance team to upload receipts
- Assist with confidential projects and manage sensitive files and records with discretion.
- Organize office events such as holiday parties and visitor meetings.
What We're Looking For
- Bachelor's degree and at least 5 years of experience in office management, executive administrative roles, with 2+ years supporting Boards of Directors or senior leadership.
- Previous biotech experience not required, however, must have worked in high growth/start up environments.
- Expertise in MS Office Suite (Word, Excel, PowerPoint).
- Exceptional organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
