In our U.S. locations, we operate on a hybrid work model with three in-office days and two remote days per week. Opportunity at a Glance
Our Office Manager will be the face of our headquarters operations, and will be responsible for the day-to-day administrative operations of our Chicago headquarters. This is an important and executive-facing role that will see the candidate , ensuring smooth functioning by managing support staff and tasks like coordinating on-site functions, maintaining office supplies, managing staff, coordinating facilities management, manage event set up and break down, primary point of contact with Landlord and ensuring compliance with company policies, building rules, and acting as the central point of contact for all office-related matters with colleagues and landlord.
Key responsibilities of the Office Manager include:
- Administrative tasks:
- Managing day-to-day operations of company headquarters
- Supervising mail and package handling and distribution
- Manage supply inventory and supervise ordering of office supplies
- Facility management:
- Assure clean and orderly
- Coordinating repairs and maintenance of FFE as needed
- Maintain up-to-date floor plan with seat assignments
- Maintain schedules for
- Staff management:
- Delegating tasks to support staff
- Monitoring employee performance and providing feedback
- Assisting with onboarding new employees
- Managing staff schedules and time off
- Financial management:
- Overseeing and tracking office expenses and managing budget
- Processing invoices and payments
- Compliance and safety:
- Ensuring adherence to company and building policies and procedures
- Maintaining health and safety standards in the office
- Serve as lead safety commander, coordinate with company, building and city security on safety and fire drills, etc
- Communication and collaboration:
- Serving as a liaison between the executive office, corporate departments and facilities management
- Communicating important information to staff and colleague occupants
- Coordinating special events and meeting support as needed

Qualifications- 10+ years of effective leadership and supervisory skills managing an executive or headquarters office environment
- Professional and welcoming demeanor, with excellent communication, interpersonal and customer service skills
- Maintain discretion and ability to maintain confidentiality when handling VIP or executive meetings or communications
- Detail-oriented and ability to multitask effectively
- Strong organizational and time management skills
- Proactive problem-solving and decision-making abilities
- Ability to lead by example and operate in a fast-paced environment
- Strong Microsoft Office Suite and other relevant software skills
Additional Information
In support of the pay transparency laws enacted across the country, the expected salary range for this position is between $49199.33 and $86253.75. Actual pay will be adjusted based on job-related factors permitted by law, such as experience and training; geographic location; licensure and certifications; market factors; departmental budgets; and responsibility.
