Position Overview
We are seeking an experienced, energetic, and detail-oriented Office Manager with a strong background in commercial real estate management to oversee the daily operations of our real estate office. This role requires a solid understanding of property assessments and tax credits to effectively manage financial workflows and ensure compliance with local tax regulations.
The ideal candidate is organized, personable, and confident in handling complex property management tasks, including working with board members, attorneys, and other stakeholders.
Responsibilities
Team Leadership:
- Supervise and support a team of three, ensuring all property management and administrative tasks are completed efficiently.
Assessments and Tax Credits:
- Review and verify property tax assessments, disputing inaccuracies with local tax authorities when needed.
- Manage applications and compliance for tax credits or abatements, such as those tied to commercial property use, energy efficiency, or economic development incentives.
- Track and monitor deadlines for payments, appeals, and annual reporting requirements.
- Communicate assessment changes and tax credit impacts to board members and stakeholders.
Financial Coordination:
- Collaborate with offshore bookkeeping services to review financial reports, manage light bookkeeping tasks, and handle accounts payable and receivable.
- Ensure accuracy in financial processes related to tenant billing, property expenses, and tax payments.
Operational Oversight:
- Ensure the smooth day-to-day functioning of the office, resolving operational issues and coordinating with vendors and contractors as needed.
Professional Communication:
- Act as the primary point of contact for board members, attorneys, tenants, and other stakeholders, ensuring clear and professional communication on property-related matters.
Problem Solving:
- Address challenges related to property operations, tenant issues, and financial discrepancies with a solutions-focused mindset.
What We’re Looking For
- Office management experience in commercial real estate is required.
- Strong knowledge of bookkeeping processes, including handling property assessments, tax credits, and related financial tasks.
- Familiarity with property tax systems, local assessment processes, and managing tax abatements or credits.
- Experience using property management software such as Rent Manager or similar platforms is a strong plus.
- Professional and approachable demeanor with excellent interpersonal and communication skills.
- Positive attitude and ability to multitask and handle challenges in a fast-paced environment.
