About the Role:
As the Bookkeeper & Office Manager, you will oversee financial and administrative operations to ensure efficient workflows and provide support to others. This role combines bookkeeping expertise with office management responsibilities. You will work closely with the team, ensuring accuracy, consistency, and organization in all areas.
Daily Life:
Your day-to-day will involve managing financial systems, including QuickBooks and project-specific accounting software, maintaining vendor and client relationships, and overseeing essential office functions. From processing invoices to managing office supplies and coordinating team activities, you’ll play a vital role in fostering a productive and positive work environment.
Key Responsibilities:
Accounting Competence:
Manage QuickBooks with accuracy.
Handle construction accounting tasks, including processing draws, invoices, payments, and 1099s.
Maintain Certificates of Insurance (COIs) and track warranty and overhead invoices.
Utilize BuildTools or similar project management systems effectively.
Organizational & Managerial Skills:
Oversee office systems, phone plans, supplies, and facility needs.
Handle daily office tasks, including but not limited to managing the dishwasher, plants, and team lunches.
Develop and execute onboarding processes for new team members.
Customer Service & Vendor Relations:
Communicate professionally with vendors, subcontractors, and clients.
Maintain and update COIs and vendor/trade information promptly.
Ideal Candidate:
Proven experience in bookkeeping and office management, preferably in construction or related industries.
Proficiency in QuickBooks, Microsoft Excel, Word, and Adobe Reader.
Familiarity with BuildTools or similar project management software.
Exceptional organizational skills and attention to detail.
Strong communication skills, both written and verbal.
A self-starter who thrives in a fast-paced, collaborative environment.
Benefits:
Salary: $60,000–$70,000
